Job Overview: The UN Volunteer in Supply Chain Management will play a vital role in supporting the UNOPS team in Honduras, particularly in the context of a complex humanitarian crisis. The position involves assisting in the management of contracts and procurement processes for medical supplies and devices, ensuring that the health system can respond effectively to urgent needs. The volunteer will be responsible for tracking and managing contracts, coordinating deliveries between suppliers and partners, and ensuring compliance with contractual obligations. This role is essential for strengthening the supply chain and ensuring timely access to essential medicines and medical supplies, which is critical in the current health emergency. The volunteer will also engage in activities aimed at enhancing supplier performance and will be involved in training workshops to promote best practices in supply chain management.
Duties and Responsibilities: The duties and responsibilities of the UN Volunteer in Supply Chain Management include:
Supporting the monitoring and recording of compliance guarantees provided by suppliers.
Assisting in the tracking and management of contracts and amendments related to the procurement of medical supplies and devices.
Helping to manage contracts to provide the team with a comprehensive overview of each contract/order status, including delivery status, modifications, penalty calculations, retention calculations, and payments made.
Raising necessary alerts proactively and communicating with the appropriate personnel.
Coordinating deliveries between partners and suppliers, ensuring effective communication between both parties.
Reviewing documentation submitted by suppliers for payment processing, ensuring accuracy and compliance with contracts/orders.
Assisting in the amendment process of contracts with suppliers by gathering necessary documents and transferring requests to the procurement area.
Sharing performance history information about suppliers with relevant areas/persons to establish performance patterns for future awards.
Supporting supplier capacity-building activities related to the supply chain process, participating in logistics for training workshops and best practices. 1
Entering information accurately and promptly into contract tracking matrices. 1
Archiving and coding documentation related to contract management processes, maintaining both physical and digital records. 1
Periodically updating required information in One UNOPS for due diligence in contract management processes. 1
Supporting the Supply Chain Management Associate in general unit activities and other assigned tasks. 1
Maintaining effective communication internally and externally within the project.
Required Qualifications: The position requires a strong understanding of supply chain management principles and practices. Candidates should possess excellent organizational skills, attention to detail, and the ability to work collaboratively in a team environment. Proficiency in using software tools for tracking and managing contracts is essential. The ideal candidate should demonstrate problem-solving skills and a proactive approach to tasks. Familiarity with procurement processes, especially in the health sector, is highly desirable. Educational Background: Candidates should have a background in supply chain management, logistics, business administration, or a related field. Experience: The position requires candidates to have some experience in supply chain management or procurement, ideally within a humanitarian or health context. Experience working with international organizations or NGOs is a plus. Candidates should demonstrate the ability to manage multiple tasks effectively and work under pressure in a fast-paced environment. Previous volunteer experience or internships in relevant fields will be considered beneficial.
Languages: Fluency in Spanish is mandatory, as it is the primary language of communication in Honduras. Proficiency in English is also desirable, as it may be necessary for reporting and communication with international stakeholders. Knowledge of additional languages spoken in the region would be an asset.
Additional Notes: This is a national UN Volunteer assignment, and the basic entitlements include a monthly allowance for basic needs, a pre-assignment allowance, and a final allowance upon completion of the contract, subject to fulfilling the necessary conditions. Volunteers will receive medical, life, and disability insurance, as well as medical coverage for eligible dependents. Volunteers are entitled to 2.5 days of vacation per month, which can be accumulated. Additionally, volunteers will have access to a learning platform for professional development.
