Job Overview:
The position of Administrative Support for the Innovative Solutions for Land Dispute Resolution project in Sierra Leone involves providing comprehensive administrative, operational, and coordination support to ensure the efficient implementation of project activities. The incumbent will work closely with the FAO Representative and other project stakeholders to ensure compliance with FAO and World Bank requirements. This role is crucial in maintaining proper documentation, facilitating communication among stakeholders, and supporting the overall project management processes. The incumbent will be expected to manage various administrative tasks, coordinate logistics for events, and assist in financial and procurement processes, thereby playing a vital role in the success of the project.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Support include providing day-to-day administrative support to the project team, establishing and maintaining structured filing systems, drafting and proofreading official correspondence and reports, and ensuring proper documentation and archiving of project records. The incumbent will also support the organization of workshops, trainings, and meetings, coordinate travel arrangements, prepare agendas and meeting minutes, and ensure proper documentation of all events. Additionally, the role involves assisting in processing payments and reimbursements, supporting procurement processes, maintaining expenditure records, and ensuring compliance with financial procedures. The incumbent will track implementation activities, maintain updated databases, facilitate communication between FAO and partners, and provide logistical support for field missions, ensuring adherence to FAO rules and World Bank requirements.

Required Qualifications:
The minimum requirements for this position include a Bachelor’s degree in Business Administration, Public Administration, Management, or a related field, along with a minimum of 5 years of relevant experience in administrative and operational support. Candidates must possess a working knowledge of English at proficiency level C and must be nationals of Sierra Leone. Additionally, candidates should demonstrate strong knowledge of administrative, financial, and procurement procedures, as well as the ability to support project implementation and field activities.

Educational Background:
Candidates are required to have a Bachelor’s degree in a relevant field such as Business Administration, Public Administration, or Management. It is essential that the educational qualifications are obtained from an institution accredited or recognized in the World Higher Education Database (WHED). This ensures that the educational background meets the standards set by international educational authorities.

Experience:
Candidates should have a minimum of 5 years of relevant experience in administrative and operational support, particularly in contexts related to international development or donor-funded projects. Experience with FAO or UN systems is considered an advantage, as it demonstrates familiarity with the operational frameworks and procedures of these organizations.

Languages:
Proficiency in English at level C is mandatory for this position. This level of proficiency indicates that the candidate can understand and communicate effectively in English, which is essential for the role's responsibilities, including documentation, reporting, and communication with stakeholders.
