Job Overview: The Programme Assistant plays a crucial role in supporting the Programme Team in the development and implementation of effective programs aligned with UN Women’s objectives. This position involves providing administrative, programmatic, and logistical assistance to ensure smooth program execution. The Programme Assistant will work closely with the Program Specialist for EVAWG, contributing to the management of programs that address gender-based violence and harmful practices. The role requires a proactive approach to administrative tasks, financial management, and resource mobilization, ensuring that all activities are conducted in compliance with UN Women’s rules and regulations.
Duties and Responsibilities:
Provide administrative and logistical support for program formulation and management, including the preparation of work plans, budgets, and proposals. Track fund delivery and assist executing partners with routine reporting on program activities and finances.
Support financial management by creating projects in the Quantum system, preparing budget revisions, and monitoring project finances. Process payments for consultants and manage requisitions and good receipts in the Quantum system.
Organize logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team. Draft meeting minutes and prepare presentations in collaboration with the team.
Assist in resource mobilization by compiling documentation and information from donors and the program team for various databases.
Facilitate knowledge sharing by organizing training sessions for office personnel and partners on program and operations-related issues.
Perform other duties as necessary for the efficient functioning of the office and organization.
Required Qualifications: Completion of secondary education is required, with a Bachelor’s degree in business or public administration being desirable. Candidates should possess strong administrative skills and be proficient in program management. Good financial and budgeting skills are essential, along with the ability to manage data and documents effectively. IT skills are also important for this role.
Educational Background: The minimum educational requirement is the completion of secondary education. A Bachelor’s degree in business or public administration is preferred, indicating a higher level of understanding in administrative and program management.
Experience: Candidates must have at least 5 years of progressively responsible experience in administrative or program management/support roles. Experience in a computer environment using multiple office software packages is required, along with familiarity with ERP systems, preferably Oracle Cloud. Experience in supporting a team is also desirable, showcasing the ability to work collaboratively in a dynamic environment.
Languages: Fluency in English is mandatory for this position. Additionally, fluency in Creole is desirable, and knowledge of another official UN language (such as French, Arabic, Chinese, Russian, or Spanish) is considered an asset, enhancing communication capabilities within the organization.
