Job Overview: The Procurement & Logistics Associate plays a crucial role in supporting the procurement activities of FHI 360 Cameroon. This position is responsible for ensuring that all procurement processes are conducted in accordance with organizational policies and government regulations. The associate will work closely with the Procurement Manager to manage the procurement of materials, parts, and equipment necessary for the organization's operations. This role involves submitting and processing purchase orders, monitoring departmental costs, and coordinating purchasing activities with other departments to maintain optimal inventory levels. The associate will also be involved in developing bid specifications and ensuring that all procurement activities align with the organization's mission to provide strategic technical assistance and direct service delivery in the health sector.
Duties and Responsibilities: The duties and responsibilities of the Procurement & Logistics Associate include preparing and maintaining purchasing files, reports, and price lists for the department. The associate will assist in developing bid specifications and reviewing requisition orders for accuracy. They will contact suppliers to schedule or expedite deliveries and resolve any issues related to shortages or late deliveries. The associate will approve bills for payment, calculate costs of orders, and maintain documentation of purchase orders. They will interact with internal and external customers to ensure compliance with government regulations and company procedures. Additionally, the associate will analyze quotations, select suppliers, and schedule deliveries, while also conducting internal audits to ensure compliance with purchasing policies. Other responsibilities include managing inventory, filtering equipment throughout the asset management life cycle, and preparing equipment for end-of-life disposition.
Required Qualifications: Candidates must possess a high school Advanced Level certificate, with a Bachelor's Degree or its International Equivalent preferred in Business Administration or a related field. The position typically requires at least three years of procurement and administrative support experience. Strong communication skills, both oral and written, are essential, along with proficiency in Microsoft Office and computer software. Candidates should have a solid understanding of procurement methods and procedures, as well as the ability to analyze and interpret data effectively. Certification in procurement is preferred, and prior experience in a non-governmental organization (NGO) is advantageous.
