Job Overview:
The Administrative Officer plays a crucial role in coordinating effective and efficient administrative services that support the mission of Catholic Relief Services. This position is responsible for ensuring that administrative systems, policies, and procedures are aligned with agency standards and comply with donor and local laws. The Administrative Officer will engage with external stakeholders, manage travel and logistics for staff and visitors, and oversee event planning activities. This role also involves supporting property management processes and maintaining accurate records of assets and inventory. The Administrative Officer will contribute to initiatives related to the Internet of Things (IoT) and climate action, ensuring that the office operates sustainably and efficiently.

Duties and Responsibilities:
The Administrative Officer will coordinate and report on activities and resources to ensure cost-efficient and quality service delivery from administrative support functions. Responsibilities include ensuring that administrative systems and policies comply with agency standards and local regulations, engaging with external stakeholders on administrative matters, coordinating travel and logistics support, planning events and training sessions, implementing property management processes, preparing utility reports, and maintaining updated records of assets and inventory. The officer will also support IoT initiatives and climate action efforts in the office, working closely with the Senior Administrative Manager.

Required Qualifications:
Candidates must possess a Higher National Diploma or a bachelor’s degree in business administration or a relevant field. A minimum of 3-5 years of work experience in administrative support functions is required, demonstrating increasing responsibility. Candidates should exhibit strong planning, organizational, and time management skills, along with a strong customer service orientation and excellent communication and interpersonal skills. Ethical conduct and the ability to maintain confidentiality are essential, as is a proactive and solutions-oriented approach to challenges.

Educational Background:
The position requires a Higher National Diploma or a bachelor’s degree in business administration or a related field. This educational background provides the necessary foundation for understanding the complexities of administrative functions and the operational needs of the organization.

Experience:
The ideal candidate should have a minimum of 3-5 years of relevant work experience in administrative support functions. This experience should reflect a progressive increase in responsibility, showcasing the candidate's ability to manage administrative tasks effectively and efficiently.

Languages:
Proficiency in English is mandatory for this position. Additional language skills may be considered an asset but are not required.
