Job Overview: The Finance Assistant will play a crucial role in supporting the Finance Manager by coordinating and executing financial management tasks related to the STRengthening Infectious Disease DEtection Systems (STRIDES) project in Kenya. This position involves performing accounting and financial duties, ensuring compliance with both internal and external regulations, and maintaining accurate financial records. The Finance Assistant will be responsible for preparing and monitoring monthly expenditures, analyzing financial data, and providing reports to stakeholders. The role requires effective communication with project leaders and management to resolve budget-related issues and ensure adherence to fiscal policies. The Finance Assistant will also assist in the preparation of annual project proposals and manage accounting record-keeping systems, making this position integral to the successful implementation of the STRIDES project.
Duties and Responsibilities: The Finance Assistant's duties include preparing and monitoring monthly project expenditures, analyzing financial data, and generating reports for internal and external stakeholders. The individual will serve as a key resource for fiscal policies and procedures, advising management on options for business decisions. Responsibilities also encompass establishing and managing accounting systems for tracking and reporting, reviewing invoices, and assisting in the preparation of annual project proposals for renewal. The Finance Assistant will work closely with project leaders to address issues related to monthly expenditures and project budgets, ensuring that projects remain within budget constraints. Additional duties may be assigned by the supervisor as needed.
Required Qualifications: Candidates must possess a strong knowledge of Generally Accepted Accounting Principles (GAAP), budgeting, and fiscal control theories. Proficiency in general office practices and administrative procedures is essential. The ideal candidate will have excellent oral and written communication skills, strong quantitative and analytical abilities, and demonstrated proficiency in spreadsheet and database software. The ability to handle complex and confidential information with discretion is crucial, as is the capacity to work collaboratively with others while verifying and analyzing financial data.
Educational Background: An Associate’s degree in Accounting, Finance, or its international equivalent is required for this position. This educational background provides the foundational knowledge necessary for the financial management tasks expected of the Finance Assistant.
Experience: Typically, candidates should have at least 3 years of accounting or finance experience. Prior experience in a non-governmental organization (NGO) is highly desirable, as it provides context for the unique financial challenges and regulations that may be encountered in this role. The ability to communicate effectively and professionally with clients and staff is also essential.
Languages: Fluency in English is mandatory, both written and spoken. Additionally, proficiency in the host country language is preferred, as it facilitates better communication with local stakeholders and enhances the effectiveness of the Finance Assistant in their role.
Additional Notes: This position is based in Nairobi, Kenya, and does not involve supervisory responsibilities. The Finance Assistant will report directly to the Finance Manager and will receive instructions on new assignments. The role is expected to require less than 10% domestic travel. The anticipated salary range for this position is KES 1,800,000 - 2,000,000 annually, with the final offer determined by factors such as relevant experience, education, and internal equity.
