Job Overview: The Transport Assistant will play a crucial role in supporting the Aviation Safety Section by assisting in the preparation and compilation of the Aviation Safety Annual Report. This includes maintaining an occurrences database, preparing graphics, tables, and statistics, and drafting necessary text. The role also involves preparing briefing materials, speeches, and documentation for meetings, as well as compiling technical evaluations for contracts. The Transport Assistant will establish and maintain a technical reference library, support the renewal of aviation safety database subscriptions, and administer inquiries related to aviation safety. Additionally, the position requires providing client support and basic administration of the aviation safety platform, researching best practices, and supporting the implementation of operational strategies. The Transport Assistant will also be responsible for general administrative support, including managing the Section's email account, organizing conferences and workshops, assisting with budget activities, and familiarizing new staff with office procedures and UN guidelines.
Duties and Responsibilities: The Transport Assistant will be responsible for a variety of duties, including:
Assisting in the preparation and compilation of the Aviation Safety Annual Report by maintaining the occurrences database and preparing necessary graphics and statistics.
Preparing briefing materials, speeches, and documentation for meetings.
Compiling technical evaluations for contracts and maintaining a technical reference library.
Supporting the renewal of aviation safety database subscriptions and administering inquiries related to aviation safety.
Providing client support and basic administration of the aviation safety platform.
Researching best practices in aviation safety and proposing improvements to business processes.
Administering Learning Management System (LMS) activities, including course setup and training records.
Managing the Section's email account and responding to internal and external clients.
Organizing conferences, workshops, and meetings, and maintaining communication logs. 1

Required Qualifications: Candidates must possess a high school diploma or equivalent. A first-level university degree or higher can reduce the required work experience from five years to three years. The position requires a minimum of five years of experience in logistics support, procurement, administration, or a related area. Experience in an aviation work environment, particularly in aviation safety or security" style="border-bottom: 1px dotted #007bff !important;">security, is desirable. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with Enterprise Resource Planning (ERP) systems such as SAP or Oracle is also desirable. Educational Background: The minimum educational requirement for this position is a high school diploma or equivalent.
