Job Overview: As an Office Manager at the EBRD's Resident Office in Abidjan, Côte d'Ivoire, you will be responsible for overseeing all administrative functions that ensure the smooth operation of the office. This includes managing office setup, property management, budgeting, human resourcescoordination, IT support, and security" style="border-bottom: 1px dotted #007bff !important;">security measures. Your role will be pivotal in supporting the Head of Office and collaborating with visiting teams, requiring strong organizational skills and the ability to handle confidential matters effectively. You will also be expected to maintain excellent communication with local authorities and external service providers, ensuring that all office operations run efficiently and effectively.
Duties and Responsibilities: Your key responsibilities will include:
Office Management & Administration: Supporting the establishment of the EBRD’s Resident Office in Côte d'Ivoire by coordinating with local authorities and EBRD teams. Managing daily office operations, including inventory management, supplies procurement, and maintenance oversight. Liaising with the landlord to manage lease agreements, security protocols, and facilities management. Ensuring IT and workstation setups are completed for staff and visitors. Acting as the local security focal point and maintaining business continuity plans.
Finance & Budgeting: Preparing and monitoring the office budget to ensure efficient financial management. Processing payments, managing petty cash, and reconciling corporate credit cards. Overseeing local supplier invoices and ensuring compliance with financial controls.
HR & Administrative Support: Assisting with staff onboarding, accreditation, and visa processes. Maintaining accurate HR records, including updates on sick leave and medical insurance. Supervising administrative and support staff, providing training and coordinating workloads. Providing administrative support to the Head of Office and banking teams as required.
Required Qualifications: To be considered for this position, you must possess a Bachelor’s degree and/or extensive experience in administration, finance, or office management. You should have previous experience in a senior administrative or accounting role within an international organization. Strong organizational, communication, and interpersonal skills are essential, along with technical proficiency in financial and budget processes, office management systems, and IT coordination. A high level of integrity and professionalism is required, as well as the ability to handle sensitive matters with discretion.
Educational Background: The ideal candidate should have a Bachelor’s degree in a relevant field such as Business Administration, Finance, or Office Management. Alternatively, extensive experience in a similar role may be considered in lieu of formal education. Continuous professional development in office management or related fields is advantageous.
Experience: Candidates should have significant experience in a senior administrative or accounting role, ideally within an international organization. This experience should demonstrate a proven track record of managing office operations, financial processes, and human resources functions effectively. Familiarity with the workings of international financial institutions or similar entities will be beneficial.
Languages: Fluency in English and French is mandatory for this position, as the role involves collaboration with international teams and local authorities. Proficiency in additional languages may be considered an asset but is not required.
