Job Overview: The Assistant Management Support Officer plays a crucial role in supporting management functions within UNHCR, particularly in the areas of human resources, finance, supply chain, and administration. This position involves administrative coordination and information management, which are essential for the smooth operation of the organization. The incumbent will assist in the day-to-day follow-up of processes, compile data, and monitor compliance with operational procedures. The role requires close collaboration with various units to facilitate effective communication and operational functioning. The Assistant Management Support Officer will work under the supervision of a senior staff member, ensuring that all tasks are performed in accordance with UNHCR's regulatory framework and core values, which emphasize professionalism, integrity, and respect for diversity.
Duties and Responsibilities: The duties and responsibilities of the Assistant Management Support Officer include:
Human Resources: Assisting with recruitment logistics, onboarding documentation, and maintaining staff records. Supporting the application of HR processes under the guidance of senior staff, tracking performance management activities, and providing administrative assistance for HR compliance initiatives.
Financial Management: Compiling budget and expenditure data, assisting in maintaining financial records, and supporting the preparation of financial reports. Flagging discrepancies or issues to finance colleagues or supervisors.
Supply Chain and Procurement: Assisting with procurement actions, maintaining related documentation, monitoring delivery schedules, and updating inventory lists. Providing administrative support for vendor registration and invoice processing.
Administrative and Office Management: Supporting logistical arrangements for travel, meetings, and office maintenance. Maintaining filing systems, coordinating supplies, and assisting with facility-related services. Helping implement basic IT and digital tools under supervision.
Risk Management: Supporting the identification and management of risks, ensuring decision-making is based on risk assessments, and raising issues to supervisors or relevant colleagues.
Performing other related duties as required.
Required Qualifications: The required qualifications for the Assistant Management Support Officer position include:
A relevant university degree in fields such as Business Administration, Finance, Human Resources, Supply Chain Management, or other relevant areas.
For candidates with an undergraduate degree, at least one year of relevant experience is required. Candidates with a graduate degree or doctorate may apply with no prior experience.
Essential functional skills include cross-cultural communication, general financial management, administration of staff contracts and benefits, supply planning, and data management.
Candidates should possess strong analytical skills, excellent communication abilities, and a commitment to continuous learning and teamwork.
Educational Background: Candidates must have a Bachelor’s degree in relevant fields such as Business Administration, Finance, Human Resources, or Supply Chain Management. Higher degrees such as a Master's or Doctorate may substitute for experience requirements, allowing candidates with advanced degrees to apply without prior work experience.
Experience: The position requires early-career professionals with relevant university degrees. Candidates should have some relevant internships, volunteer experience, or junior-level roles that demonstrate their capability in the field. Experience in human resources management, particularly in personnel administration and contract management, is highly desirable. Familiarity with UNHCR HR policies and systems is also beneficial.
Languages: The mandatory languages for this position are English and Arabic. Candidates must have a good command of these languages, with an expected overall ability of at least B2 level. Knowledge of the local language is also advantageous for effective communication within the duty station.
