Job Overview: The Personal Assistant (PA) plays a crucial role in providing senior-level administrative, secretarial, and communications support to the Country Representative. This position requires maintaining confidentiality, managing information flow, and ensuring that deadlines and commitments are met. The PA will facilitate knowledge building and management, provide logistical support, and coordinate secretarial services. The role is essential for the smooth operation of the Country Representative's office, ensuring that all administrative tasks are handled efficiently and effectively. The PA will also be responsible for drafting correspondence, managing the Representative's schedule, and liaising with various stakeholders to ensure that the Representative's work is well-supported and organized.
Duties and Responsibilities: The Personal Assistant will be responsible for a wide range of duties, including but not limited to: arranging internal and external meetings for the Representative; drafting and distributing correspondence and documents; managing the filing system and updating mailing lists; translating correspondence from Government offices and other sources; preparing informal translations and acting as an interpreter; coordinating agendas, schedules, and work plans for high-level missions; liaising with program, administration, and finance officers; maintaining a filing system for confidential records; screening and routing correspondence requiring the Representative's attention; organizing the Representative's calendar and travel arrangements; and compiling business cards for official contacts. The PA will also perform any other functions as requested by the UNFPA Representative, ensuring that all tasks are completed with a high level of professionalism and attention to detail.
Required Qualifications: Candidates must possess a minimum of six years of relevant experience in administration with a high school diploma, or three years of relevant experience with a bachelor’s degree. Experience in a PA-type role assisting senior officials is essential. Familiarity with the UN common system, large multinationals, international financial institutions, NGOs, or similar organizations is considered advantageous. Strong interpersonal and organizational skills are required, along with proficiency in current office software applications and corporate IT financial systems. Good written and verbal communication skills are also necessary for this role.
Educational Background: The minimum educational requirement for this position is completed Secondary Level/High School Education. A first-level university degree is considered advantageous and may enhance a candidate's qualifications for the role.
Experience: The ideal candidate should have a minimum of six years of relevant administrative experience if they hold a high school diploma, or three years of relevant experience if they possess a bachelor’s degree. Experience in a Personal Assistant role, particularly in supporting senior officials, is crucial. Candidates with experience in research assistance or within the UN system will be viewed favorably, as will those who have worked in large multinational organizations or NGOs.
