Job Overview: The Programme Assistant position at UN Women is integral to supporting the Women, Peace, and Security (WPS) team in Lebanon. The role involves providing comprehensive programme, administrative, and logistical assistance to ensure the effective implementation of programmes aligned with UN Women’s rules and regulations. The Programme Assistant will work closely with the Programme Analyst and the WPS team to develop, implement, and communicate various programmes aimed at enhancing women's agency and participation in peacebuilding efforts. This includes supporting the preparation of work plans, budgets, and proposals, as well as monitoring the delivery of funds and ensuring compliance with audit recommendations. The Programme Assistant will also facilitate communication and advocacy efforts, assist in organizing training sessions, and provide backstopping support for security and safety activities, ensuring that all operations align with the United Nations Security Management System (UNSMS) policies.
Duties and Responsibilities: The Programme Assistant will be responsible for a wide range of duties, including:
Providing administrative and logistical support for the formulation and management of programmes, including preparing work plans, budgets, and proposals, tracking fund delivery, and supporting implementing partners with routine reporting.
Assisting in the organization of meetings, workshops, and events, including making travel arrangements, drafting minutes, and preparing presentations.
Supporting the development of communication and advocacy materials, including drafting, translating, and disseminating content.
Maintaining communication databases and liaising with partners to gather field information for communication products.
Providing administrative support for training sessions and knowledge-sharing initiatives.
Assisting in security and safety activities, including coordinating security briefings and trainings.
Performing other duties as necessary for the efficient functioning of the office and organization.
Required Qualifications: Candidates must possess a minimum of secondary education, with a Bachelor’s degree in business or public administration being desirable. The role requires at least 5 years of progressively responsible experience in programme support, administration, or communications for those with secondary education, or 2 years for those with a Bachelor’s degree. Experience in drafting communication materials, providing technical and administrative support in project management, and familiarity with the UN system or international NGOs is highly desirable. Proficiency in using office software packages and ERP systems, particularly Oracle Cloud, is also required.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. A Bachelor’s degree in business or public administration is preferred, as it provides a solid foundation for the administrative and programmatic tasks associated with the role.
Experience: The Programme Assistant should have a minimum of 5 years of relevant experience if they hold a secondary education, or 2 years if they have a Bachelor’s degree. This experience should include progressively responsible roles in programme support, administration, or communications. Candidates with experience in drafting and editing communication materials, providing technical and administrative support in project management, and working with the UN system or donor-funded programmes will be given preference. Familiarity with security and safety functions and knowledge of UNSMS requirements is also advantageous.
Languages: Fluency in English and Arabic is mandatory for this position, as effective communication in both languages is essential for the role. Knowledge of French is considered desirable, as it may enhance communication with a broader range of stakeholders and partners.
