Job Overview: The Team Assistant position at the World Bank involves providing essential administrative and operational support to the Procurement team under the Governance Global Practice work program. This role is crucial for ensuring the effective delivery of the team's work, which includes managing various tasks related to procurement, data management, and logistical arrangements for events. The Team Assistant will work closely with the Division Director and other team members to facilitate the smooth operation of the office, ensuring that all administrative processes are executed efficiently and in accordance with the World Bank's standards. The position requires a proactive approach to problem-solving and a commitment to supporting the team's objectives in a dynamic and multicultural environment.
Duties and Responsibilities: The Team Assistant will be responsible for a wide range of duties, including:
Providing primary assistance in implementing the Procurement unit’s work program, including task management and data management.
Drafting and formatting various correspondences, reports, and documents according to World Bank standards.
Handling administrative and logistical arrangements for events such as meetings, conferences, and workshops, including travel and security" style="border-bottom: 1px dotted #007bff !important;">security arrangements.
Managing travel schedules for team members and consultants, including making reservations and preparing travel briefing materials.
Supporting the Procurement team in processing requests for individual consultants and ensuring compliance with selection policies.
Maintaining project-related data and distribution lists, and performing other duties as required by the Division Director.
Acting as Cash Custodian for the Country Office, maintaining accurate cash records and supporting procurement and invoice tracking.
Serving as a back-up Administrative Assistant and providing general office support during peak periods.
Assisting in managing emergency staff communications and ensuring the availability of emergency supplies. 1
Reporting security concerns and assisting in the execution of emergency drills.
Required Qualifications: Candidates must possess a Bachelor's degree in a related field and have at least 2 years of relevant working experience. They should demonstrate the ability to draft routine correspondence and edit materials in English, Uzbek, and Russian, using proper grammar and style. Proficiency in Microsoft Office applications, particularly Word, Excel, Outlook, and PowerPoint, is essential. Candidates should also have a good understanding of administrative and policy guidelines relevant to their responsibilities, along with effective time management and organizational skills. A commitment to teamwork and the ability to work effectively in a multicultural environment are also important.
Educational Background: A Bachelor's degree in fields related to administration, business, or a similar area is required for this position. The educational background should provide a solid foundation for understanding the administrative processes and functions necessary for supporting the Procurement team effectively.
Experience: The position requires at least 2 years of relevant working experience in an administrative or office support role. Candidates should have experience in managing tasks related to procurement, data management, and logistical arrangements, demonstrating their ability to handle complex administrative processes efficiently.
Languages: Proficiency in English, Uzbek, and Russian is mandatory for this position. Candidates should be able to draft and edit correspondence in these languages. Knowledge of additional languages may be considered an asset, but it is not required.
