Job Overview: The AdministrationTeam Leader is responsible for the efficient management and planning of administrative support functions within the Danish Refugee Council. This role encompasses the management of DRC facilities, including offices and guesthouses, and the provision of visitor support services. The individual in this position will be tasked with enhancing the performance quality of the administrative team and ensuring stakeholder satisfaction through service-oriented practices. The role requires a proactive approach to maintaining a well-functioning office environment, overseeing logistics and travel arrangements, managing property leases, and coordinating events and meetings. The Administration Team Leader will also lead and supervise administrative staff, ensuring alignment with organizational goals and performance standards.
Duties and Responsibilities:
Administration & Office Management: Ensure the office environment is well-maintained, clean, safe, and fully functional. Oversee daily office supply inventory, manage office space allocation, and coordinate repairs and maintenance for office facilities. Supervise maintenance of guesthouses to ensure compliance with standards.
Travel, Logistics & Movement Support: Coordinate and manage travel arrangements for DRC staff, ensuring compliance with organizational procedures.
Property, Lease & Asset Administration: Manage leases for offices and guesthouses, maintain a database for lease agreements, and negotiate contracts.
Events, Meetings & Coordination: Assist in planning and organizing events, meetings, and workshops, coordinating logistics and administrative support.
Team Leadership & People Management: Lead and supervise administrative team members, conduct performance appraisals, and maintain a supportive team environment.
Required Qualifications:
Minimum of 3 years of progressively responsible experience in administration, operations, or general management within an INGO.
Demonstrated experience managing office operations, staff travel arrangements, and logistics coordination in complex environments.
Proven ability to coordinate with multiple departments and work effectively with diverse teams.
Experience supervising administrative staff and overseeing workflows.
Strong background in managing documentation and compliance workflows according to organizational policies.
Prior experience in emergency or conflict-affected settings is a strong asset.
Educational Background: A Bachelor’s degree in a relevant field is required. However, prior experience may substitute for the degree requirement, allowing candidates with significant relevant experience to qualify for the position.
Experience: Candidates should possess a minimum of 3 years of progressively responsible experience in administration, operations, or general management, particularly within an international non-governmental organization (INGO). Experience in managing office operations, logistics coordination, and staff travel arrangements in complex or high-risk environments is essential. Supervisory experience and familiarity with compliance workflows are also critical for this role.
Languages: Fluency in English and Arabic is mandatory for this position. Proficiency in additional languages may be considered an asset but is not required.
Additional Notes: The contract length for this position is up to 31 December 2026, with the possibility of extension based on performance and available funding. The position is classified at Management Level G, and the expected start date is 15 April 202
