Job Posting Organization:
The position is located within the Local Transportation Team of the Transportation Operations Unit in the Travel and Transportation Section of the Facilities and Commercial Activities Service in the Department of Operational Support (DOS) at the United Nations Headquarters in New York. The DOS provides operational support to UN Secretariat entities globally, offering advisory, operational, and transactional support services. It oversees almost 100 entities worldwide, ensuring effective management of facilities and assets at the UN Headquarters. The Facilities and Commercial Activities Service (FCAS) is responsible for the planning, management, maintenance, and operation of the Headquarters complex, which includes various services such as property management, travel and transportation, and catering. The Travel and Transportation Section specifically handles travel services, shipments management, and local transportation, among other duties.

Job Overview:
The Transportation Assistant plays a crucial role in maintaining and managing the UN Headquarters vehicle fleet. This position involves overseeing the maintenance and repairs of vehicles, ensuring they are in peak operating condition. The assistant will arrange inspections, perform preventive maintenance, and provide light repairs when necessary. Additionally, the role includes managing vehicle maintenance records, dispatching drivers, and conducting market research for procurement of vehicles and supplies. The Transportation Assistant will also support the Local Transportation Team during peak hours by completing ad-hoc driving assignments and may perform supervisory functions in the absence of the Foreperson. This position requires a strong understanding of vehicle fleet management and the ability to work effectively with senior officials.

Duties and Responsibilities:
The Transportation Assistant is responsible for a variety of tasks, including:
  • Arranging inspections of UNHQ vehicles to identify issues and determine cost-effective repair methods.
  • Performing preventive maintenance and light repairs on-site.
  • Verifying invoices for maintenance and repair services.
  • Maintaining accurate vehicle maintenance records and inventory systems.
  • Dispatching drivers and managing their daily assignments.
  • Conducting market research for vehicle procurement and assisting with technical evaluations of bids.
  • Acting as a focal point for vehicle records and coordinating vehicle replacement programs.
  • Supporting the implementation of new fleet management technologies and conducting ad-hoc driving assignments as needed.
  • Performing supervisory functions in the absence of the Foreperson.

Required Qualifications:
Candidates must possess a valid Commercial Driver's License (CDL) and have a high school diploma or equivalent. A minimum of seven years of experience in transportation management, particularly in vehicle fleet management and maintenance, is required. Experience in developing solutions for transportation services and familiarity with international organizations is desirable. Knowledge of New York traffic laws and regulations is also essential.

Educational Background:
A high school diploma or equivalent is required for this position. Candidates must also hold a valid Commercial Driver's License (CDL), which is a critical qualification for the role.

Experience:
The position requires a minimum of seven years of relevant experience in transportation management, specifically in vehicle fleet management and maintenance. Experience in research and development of transportation solutions, as well as familiarity with operating manuals and regulations, is highly desirable. Previous work experience in international, governmental, or non-governmental organizations is also preferred.

Languages:
English is the required working language for this position, with a minimum proficiency level of UN Level III in reading, writing, listening, and speaking. French is also a working language of the United Nations, but it is not mandatory for this position.
