Job Overview: The Business Operations Assistant and Events Coordinator will play a crucial role in supporting the Private Partnerships Division (PSP) of WFP, specifically within the Global Philanthropy team. This position involves providing operational support to ensure effective management of partnerships and engagements, including overseeing agreements, event logistics, and meetings. The successful candidate will be responsible for managing a variety of events aimed at engaging High-Net-Worth Individuals and Family Offices, which may include bilateral meetings, intimate gatherings, panels, and high-level multi-stakeholder events. Duties and Responsibilities: The duties and responsibilities of the Business Operations Assistant and Events Coordinator include: managing the strategy, planning, and logistics of meetings, travel, and events to support the implementation of WFP's Global Philanthropy strategy; coordinating across projects and facilitating communication within the team and with external stakeholders; preparing internal and external presentations and documents; conducting research and assisting in the screening of prospects and donors; managing files and content in the Global Philanthropy SharePoint page; ensuring compliance with WFP rules and regulations; and other responsibilities as required. The role also involves preparing reports, briefing materials, and maintaining an updated events calendar and partner lists.
Required Qualifications: Candidates must possess a completed university degree in Political Sciences, Business Management, International Relations, Intercultural Heritage and Identity, Languages and Cultural Mediation, or related disciplines. Additionally, candidates should have 3 to 5 years of relevant experience in an administrative role or project management, demonstrating a strong understanding of operational support functions. Technical expertise in Microsoft Office applications, particularly Word and PowerPoint, is essential, along with proficiency in using SharePoint and project management tools. Strong time management, research, and analytical skills are also required, along with the ability to work in a fast-paced environment and deliver on commitments.
Educational Background: The educational background required for this position includes a completed university degree in relevant fields such as Political Sciences, Business Management, International Relations, or similar disciplines. This educational foundation is crucial for understanding the complexities of the role and the operational needs of the Global Philanthropy team.
Experience: Candidates should have between 3 to 5 years of relevant experience in administrative roles or project management. This experience should ideally include working in environments that require strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. Experience in the humanitarian sector or with non-profit organizations is highly desirable, as it provides context for the work undertaken by WFP.
Languages: The position requires an excellent command of spoken and written English. Additionally, intermediate knowledge of another official UN language (such as Arabic, Chinese, French, Russian, or Spanish) would be considered a plus, enhancing the candidate's ability to communicate effectively in a diverse work environment.
