Job Overview: The Assistant position is crucial for providing comprehensive administrative and secretarial support to allocated managers within the Banking Sectors division. The role is designed to ensure the smooth operation of the managers' business activities, which includes managing travel arrangements, expenses, and diary schedules. The Assistant will be responsible for coordinating meetings, handling correspondence, and maintaining organized filing systems. This position requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently. The Assistant will also support the organization of events and ensure that all logistical details are meticulously arranged, contributing to the overall effectiveness of the team.
Duties and Responsibilities: The Assistant will perform a variety of duties including: providing secretarial and administrative support to the team/department; arranging internal and external meetings and conference calls; managing travel arrangements including hotel bookings, itineraries, and visa applications; handling expense claims and monitoring corporate card bills; maintaining comprehensive filing systems for easy document retrieval; coordinating logistics and catering for signing events; acting as the Stationery Coordinator; supporting Bankers on Opscom and Board submissions; proofreading and editing documents as directed by the Line Manager; and conducting ad-hoc tasks as assigned. The role demands a high level of organization, attention to detail, and the ability to work under pressure while maintaining professionalism.
Required Qualifications: Candidates must possess strong secretarial and administrative experience, with excellent organizational skills and a proactive attitude. The ability to prioritize tasks, work independently, and communicate effectively is essential. Attention to detail, a pleasant telephone manner, and the ability to build effective working relationships in a multicultural environment are also required. The candidate should be conscientious, reliable, and flexible, with a strong team player mentality. Familiarity with SAP is advantageous, and candidates should be capable of handling confidential information discreetly.
Educational Background: A minimum of Secondary/High School Education is required for this position. Candidates should demonstrate fluency in English, with excellent written and oral communication skills. Knowledge of an additional language such as Russian, German, French, or Arabic is considered beneficial.
