Job Overview:
The Office Assistant position is essential for the smooth operation of the Latin America and the Caribbean Service (CFIF) within the FAO Investment Centre. This role involves performing a variety of routine administrative tasks and providing office support functions that contribute to the efficient running of the work unit. The Office Assistant will be responsible for managing appointments, correspondence, and logistics for meetings, as well as assisting in the administrative processing of contracts and vacancy announcements. The position requires a proactive approach to problem-solving and the ability to work independently while also collaborating with colleagues across different departments.

Duties and Responsibilities:
The Office Assistant will be tasked with a comprehensive set of duties including: arranging appointments for supervisors, receiving visitors, screening and sending emails, and responding to routine information requests. The role also involves reviewing, recording, and processing incoming mail and correspondence, as well as drafting responses to standard communications. The Office Assistant will utilize MS Office applications to produce complex documents and reports, proofread and format texts for accuracy, and initiate general administrative tasks in various computerized systems. Additional responsibilities include preparing purchase orders, making travel arrangements, assisting with vacancy announcements, and managing databases and filing systems. The incumbent will also be expected to perform other duties as required, contributing to the overall efficiency of the work unit.

Required Qualifications:
Candidates must possess a secondary school education and have at least three years of relevant experience in office support work. A working knowledge of English at proficiency level C is required, along with good IT skills, particularly in MS Office applications and office technology. Candidates must also be nationals of Italy or possess a valid visa/work permit and reside within commuting distance of the duty station.

Educational Background:
The minimum educational requirement for this position is a secondary school education. This foundational education is essential for performing the administrative tasks required of the Office Assistant, ensuring that they have the necessary skills to manage office functions effectively.

Experience:
The position requires a minimum of three years of relevant experience in office support work. This experience should demonstrate the candidate's ability to handle various administrative tasks, manage correspondence, and provide logistical support in a professional environment. Familiarity with corporate procedures and administrative systems is also beneficial.

Languages:
A working knowledge of English at proficiency level C is mandatory for this position. Additionally, proficiency in Spanish is considered an asset, enhancing the candidate's ability to communicate effectively within the Latin America and the Caribbean Service.
