Job Overview:
The Project Assistant (Operations) position is integral to the successful implementation of the 'Helios+: Comprehensive actions for the integration of third-country nationals into the labour market' project in the North Aegean region. The role involves close collaboration with national and local authorities, as well as experienced partners, to facilitate the integration of beneficiaries of international protection and temporary protection into Greek society. This includes providing employability support, Greek language courses, vocational training, and promoting social cohesion. The successful candidate will be responsible for providing interpretation and translation services, establishing initial contact with beneficiaries, and fostering a respectful and trusting relationship with them. The role also requires responding to project helpline calls, identifying issues, and reporting them to the Project Assistant (Operations). The Project Assistant will play a crucial role in ensuring that beneficiaries can access the full range of services available to them, translating necessary documents, and assisting in mediation activities in collaboration with IOM staff. Overall, the position demands a proactive approach to support project activities and contribute to the overall mission of IOM in the region.

Duties and Responsibilities:
  • Provide interpretation and translation services to beneficiaries, ensuring clear communication and understanding.
  • Establish initial contact with beneficiaries and build respectful and trusting relationships.
  • Respond to calls received on the project’s helpline, identify new issues, and report them to the Project Assistant (Operations).
  • Maintain a helpline tracker to record calls and issues raised.
  • Develop and maintain good relations with beneficiaries, stakeholders, and other humanitarian actors to support project implementation.
  • Identify gaps and barriers that prevent beneficiaries from accessing services and report these findings.
  • Translate documents and information materials for dissemination to project beneficiaries.
  • Assist in mediation activities in cooperation with IOM staff, ensuring objectivity and impartiality.
  • Provide general assistance to other project staff during activities in HELIOS+ Centers, Reception Facilities, and other locations as required. 1
  • Perform additional duties as assigned by the supervisor to support project objectives.

Required Qualifications:
  • High school degree/certificate with a minimum of two years of relevant work experience.
  • A university degree from an accredited academic institution is an advantage.
  • Previous work experience in a similar role is essential.
  • Experience working in a multi-cultural environment is preferred.
  • Strong computer literacy in standard software applications is required.
  • A valid driver’s license with at least five years of driving experience is considered an advantage.
  • Strong work ethics and commitment to humanitarian principles are essential.

Educational Background:
Candidates must possess a high school degree or certificate, with a minimum of two years of relevant work experience. A university degree from an accredited institution is advantageous, particularly if the institution is listed in the UNESCO World Higher Education Database.

Experience:
Candidates should have previous work experience in a similar role, ideally within a multi-cultural environment. This experience is crucial for understanding the dynamics of working with diverse populations and effectively addressing their needs.

Languages:
Fluency in English and/or Greek (both written and oral) is required. Additionally, fluency in Arabic (written and oral) is mandatory. Proficiency in French and/or Farsi is considered an asset. The selection process will specifically evaluate language proficiency, which may include written and/or oral assessments.

Additional Notes:
The position is subject to local recruitment, and only candidates holding a valid residence and work permit for Greece will be eligible for consideration. Any offer made to the candidate is contingent upon funding confirmation. Appointment will also be subject to certification of medical fitness, verification of residency, visa, and necessary authorizations by the concerned government.
