Job Overview: The Administrative Assistant (Protocol) plays a crucial role in the FAO Representation by providing essential administrative support related to protocol matters. This position requires a proactive individual who can independently handle queries and use their judgment to address unforeseen challenges. The Administrative Assistant will work closely with various units within the FAO Representation, assisting with visa requests, customs duty waivers, and the facilitation of employee transfers and entitlements. The role is vital for ensuring that the administrative functions related to protocol are executed smoothly and efficiently, adhering to FAO guidelines and procedures.
Duties and Responsibilities: The duties and responsibilities of the Administrative Assistant (Protocol) include liaising with relevant Host Country Government entities, such as the Ministry of Foreign Affairs, to troubleshoot protocol-related issues. The assistant will assist staff and their dependents in processing requests for visas, resident permits, and diplomatic identification, ensuring compliance with UN and Host Country requirements. Additionally, the role involves managing airport protocol operations, including facilitating airport lounge bookings and arranging transfers for high-level officials. The assistant will also be responsible for issuing protocol correspondence and processing annual requests for airport passes for senior staff, along with any other duties assigned by the supervisor.
Required Qualifications: Candidates must possess a university degree in Business Administration, Political Science, Sociology, Management, or related fields. A minimum of two years of relevant experience in administration and protocol support services is required. Additionally, candidates must have a working knowledge of English at Level C and must be nationals of Nigeria.
Educational Background: The position requires a university degree in a relevant field such as Business Administration, Political Science, Sociology, or Management. It is essential that the educational qualifications are obtained from an institution accredited or recognized in the World Higher Education Database (WHED).
Experience: Candidates should have at least two years of relevant experience in administration and protocol support services. Experience working in multiple locations or areas of work is preferred, as well as familiarity with Nigerian visa policies and customs regulations.
Languages: A working knowledge of English (Level C) is mandatory for this position. Proficiency in additional languages may be considered an asset but is not explicitly required.
