Job Overview: The Senior Travel Assistant position is a critical role within the Travel Team of the Procurement and Contracts Administration Unit at ADB. This position is responsible for providing comprehensive support in the administration of travel-related matters, ensuring that all travel policies and procedures are adhered to. The Senior Travel Assistant will act as a point of contact for staff inquiries regarding travel, resolving issues when possible or directing them to the appropriate resources. The role involves monitoring administrative requirements, supporting procurement activities related to travel services, processing invoices, and assisting colleagues with travel expense systems. Additionally, the Senior Travel Assistant will draft correspondence, manage document flow, and compile travel data for reporting purposes. This position requires a proactive approach to ensure that travel arrangements are efficient and compliant with ADB standards.
Duties and Responsibilities: The Senior Travel Assistant will have a variety of duties and responsibilities, including but not limited to: responding to staff inquiries on travel policies and procedures; resolving travel-related issues or directing them to the appropriate focal points; ensuring adherence to ADB policies and travel service standards; supporting procurement activities involving airlines, hotels, and travel agencies; processing invoices for travel-related expenses; assisting colleagues with travel expense systems such as Concur; drafting correspondence and coordinating with embassies on visa requests; managing document flow and maintaining accurate records; organizing meetings and training sessions; compiling and analyzing business travel data; and arranging travel for supervisors according to ADB procedures. The role may also involve performing other duties as assigned in the workplan.
Required Qualifications: Candidates for the Senior Travel Assistant position must possess a Bachelor's degree in tourism, business administration, accounting, management, or related fields. A minimum of 5 years of relevant professional experience in the travel industry is preferred, which may include experience with airlines, hotels, online travel agencies, or corporate travel management. Familiarity with visa policies and travel requirements for ADB personnel is essential. Proficiency in office administration and relevant computer applications, including Microsoft Office 365 and Oracle, is required. Previous international travel experience is considered an asset, and candidates must demonstrate excellent written and verbal communication skills in English.
