Job Overview: The HR Associate position is crucial for ensuring the effective execution of HR services within the Country Office (CO). Reporting to the Head of HR and receiving day-to-day support from the HR Analyst, the HR Associate is responsible for promoting a collaborative and client-oriented HR environment. This role involves working closely with various teams within the CO, including Programme, Operations, and project teams, as well as with staff from the Global Shared Services Centre (GSSC) and other UN agencies. The HR Associate will ensure compliance with UNDP policies and procedures, manage HR records, and support recruitment processes. The position requires a proactive approach to risk management and the ability to maintain high staff morale while facilitating effective onboarding and offboarding processes. The HR Associate will also contribute to knowledge sharing and capacity building within the CO, ensuring that HR practices align with organizational goals and standards.
Duties and Responsibilities:
Administer and implement HR strategies and policies, ensuring compliance with UNDP regulations and effective internal controls.
Manage recruitment processes, including drafting job descriptions, screening candidates, and facilitating interviews.
Oversee contract management actions and ensure timely processing of personnel contracts.
Maintain accurate HR databases and trackers, ensuring data integrity for reporting and decision-making.
Support onboarding processes for new hires, providing orientation and necessary resources for successful integration.
Facilitate offboarding processes, ensuring compliance with organizational policies and timely completion of exit procedures.
Organize training sessions for staff on HR-related topics and contribute to knowledge networks within the organization.
Maintain a well-organized filing system for HR records, ensuring confidentiality and compliance with data protection policies.
Required Qualifications: Candidates must possess a minimum of secondary education, with a university degree in Human Resources, Business Administration, or a related field being advantageous. A minimum of 6 years of relevant HR or administrative experience is required for those with a high school diploma, while candidates with a bachelor's degree need at least 3 years of experience. Proficiency in web-based management systems, MS Office, and HR documentation is essential. Desired skills include effective communication, coordination abilities, and experience in HR services such as onboarding, performance management, and separation processes. Candidates should also demonstrate strong data management skills and familiarity with UN/UNDP policies and regulations.
Educational Background: The educational background required for this position includes at least secondary education. A university degree (Bachelor’s degree) in Human Resource Management, Business Administration, or a related field is preferred but not mandatory. Candidates with relevant educational qualifications will be given due consideration during the selection process.
Experience: The position requires a minimum of 6 years of progressively responsible HR and/or administrative experience at the national or international level for candidates with a high school diploma. Those with a bachelor's degree are expected to have at least 3 years of relevant experience. This experience should encompass various aspects of HR management, including recruitment, onboarding, performance management, and compliance with organizational policies.
Languages: Fluency in English and Hindi is mandatory for this position. Proficiency in additional languages may be considered an asset, enhancing communication and collaboration within the diverse environment of UNDP.
