Job Overview:
The Executive Associate will provide comprehensive executive administrative support to the UN Women Country Representative. This role requires maintaining confidentiality in all aspects of the assignment while ensuring efficient communication and information flow within the Country Office. The Executive Associate will manage the Country Representative's calendar, schedule appointments, arrange travel logistics, and maintain contact rosters. The position also involves preparing briefing materials, organizing meetings and events, and ensuring that all administrative tasks are executed with precision and professionalism. The Executive Associate will play a crucial role in facilitating communication between the Country Representative's Office and other units, ensuring timely responses to inquiries, and maintaining organized filing systems for easy access to information.

Duties and Responsibilities:
The duties and responsibilities of the Executive Associate include managing the Country Representative's calendar and appointments, arranging travel and accommodations, maintaining contact lists, screening calls, and managing administrative files related to mission travel. The role also involves organizing meetings, events, and workshops, preparing minutes and summaries, and assembling briefing materials for key events. The Executive Associate will facilitate communication between the Country Representative's Office and other units, review and prioritize correspondence, and ensure the safekeeping of confidential materials. Additionally, the incumbent will support external relations activities by coordinating visits from high-ranking officials and contributing to knowledge management within the office.

Required Qualifications:
Candidates must possess a strong understanding of administrative processes and the ability to handle confidential information. Excellent knowledge of administrative rules and regulations is essential, along with proficiency in IT and web-based management systems. The ability to extract and interpret data is also required. The role demands a high level of professionalism, integrity, and respect for diversity, as well as effective communication and stakeholder engagement skills.

Educational Background:
Completion of secondary education is required for this position. A Bachelor's degree in business administration or public administration is considered an asset, providing a foundation for the administrative and organizational tasks expected of the Executive Associate.

Experience:
Candidates should have at least 7 years of progressively responsible experience in administrative, secretarial, or program roles. Experience with computer applications and software packages, particularly Microsoft Office and web-based management systems, is required. Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is desirable, enhancing the candidate's ability to manage administrative tasks effectively.

Languages:
Fluency in English and Amharic is mandatory for this position. Knowledge of another official UN language, such as French, Arabic, Chinese, Russian, or Spanish, is considered desirable, as it may facilitate communication with diverse stakeholders and enhance the effectiveness of the role.
