Job Overview: The Senior Project Associate – Document Verification will play a crucial role in overseeing document verification activities in Addis Ababa and in the field. This position is vital for ensuring that the verification processes are conducted efficiently and effectively, in line with established guidelines and standard operating procedures (SOPs). The successful candidate will be responsible for coordinating a team of staff members, managing document verification operations, and liaising with various embassies and government agencies. The role requires a strong understanding of immigration processes, excellent organizational skills, and the ability to work collaboratively with diverse stakeholders. The Senior Project Associate will also be tasked with preparing reports, managing data, and ensuring compliance with IOM's operational standards.
Duties and Responsibilities:
Coordinate a team of up to five staff members engaged in document verification activities across various government offices and institutions.
Oversee staff development processes, including hiring, training, and performance feedback, to ensure high-quality work.
Liaise with embassies that have service agreements with IOM to enhance project activities.
Ensure timely execution and reporting of all document verification requests according to SOPs.
Monitor the preparation and submission of official letters for document verification.
Conduct document verification activities as requested by embassies and submit timely reports.
Prepare cost breakdowns and invoices for document verification services.
Communicate daily with supervisors regarding task progress and challenges.
Compile and share weekly, monthly, quarterly, and annual reports on document verification activities. 1
Facilitate financial processes related to document verification costs. 1
Represent IOM in meetings and workshops, reporting outcomes to supervisors. 1
Conduct field trips to evaluate document verification activities and propose improvements. 1
Perform additional duties as assigned.
Required Qualifications:
University degree in social science with four years of relevant experience in immigration and visa processing, vital event registration, and fraud detection, or a high school diploma with six years of relevant experience.
A third-grade driving license and excellent driving skills are advantageous.
Proven experience in data management, document verification, and working with humanitarian agencies is essential.
Strong interpersonal skills and the ability to build relationships with government agencies and international organizations are required.
Familiarity with Microsoft Office applications is necessary.
Educational Background: Candidates must possess a university degree in social science or a related field, or a high school diploma with extensive relevant experience. Accredited universities are those listed in the UNESCO World Higher Education Database. A third-grade driving license is considered an advantage.
Experience: Candidates should have relevant professional experience in immigration and visa processing, vital event registration, and fraud detection. Experience in data recording and management, document verification, and working with humanitarian organizations is essential. Proven ability to establish strong working relationships with government entities and international organizations is required. Familiarity with different cultures and languages is also beneficial.
Languages: Fluency in English and Amharic is required, both oral and written. Working knowledge of other Ethiopian languages such as Oromifa, Somali, or Tigrigna is desirable. Proficiency in IOM's official languages (English, French, and Spanish) will be evaluated during the selection process.
