Job Overview: The Senior Asset Management Assistant plays a crucial role in managing the organization's assets, specifically focusing on Property, Plant, and Equipment (PPE). This position involves working closely with the Asset Management Officer/Associate to ensure compliance with UNHCR's asset management policies and procedures. The incumbent will be responsible for providing operational assistance to Field Operations, particularly in the disposal of assets. This role requires regular interaction with various stakeholders, including Field Operations, Asset Management Unit, and external service providers such as auctioneers. The Senior Asset Management Assistant will also assist in monitoring and reporting on asset management issues, ensuring that all activities align with UNHCR's core values of professionalism, integrity, and respect for diversity.
Duties and Responsibilities: The duties and responsibilities of the Senior Asset Management Assistant include organizing asset auctions to maximize revenue for UNHCR, participating in asset disposal missions, facilitating vendor selection for auctioneers, ensuring proper reporting of vehicle accidents, coordinating asset management activities, maintaining accurate records, analyzing disposal requisitions, preparing ownership transfer documents, monitoring compliance with asset management regulations, and supporting risk management efforts. The incumbent will also be responsible for drafting disposal forms for the Asset Management Board and ensuring that asset-related data is accurate and up-to-date. Additionally, the Senior Asset Management Assistant will assist in the physical verification of assets and provide support in the resolution of asset management issues.
Required Qualifications: Candidates must possess a high degree of integrity and the ability to work effectively in geographically diverse teams. Advanced skills in Microsoft Excel are essential, and experience in online auctioning is desirable. Knowledge of relevant business systems and the ability to analyze and present large datasets are also important qualifications. The ideal candidate should demonstrate accountability and ethical conduct, with prior supervisory or compliance-related responsibilities being advantageous.
Educational Background: The position requires a minimum of a High School Diploma with 2 years of relevant experience, or a Bachelor's degree or equivalent with 1 year of relevant work experience. No specific field of education is mandated, but certifications related to supply chain management are beneficial.
Experience: Candidates should have at least 2 years of relevant experience in asset management or a related field. Experience in planning, coordination, and stakeholder communication is essential, along with a proven track record of managing administrative and financial processes in accordance with UNHCR procedures. Familiarity with UNHCR's asset management policies and procedures is highly desirable.
Languages: Knowledge of English is mandatory, and proficiency in the UN working language of the duty station is required if it is not English. For General Service jobs, knowledge of English and/or the UN working language is necessary, while knowledge of the local language is considered an asset.
