  • This position is integral to the project's third phase (2024-2027), which aims to consolidate efforts to enhance the protection of migrant workers' rights and address emerging labor market priorities identified in Qatar's National Development Strategy. The Project Support Assistant will provide essential administrative and logistical support to ensure the smooth functioning of the project. This includes managing correspondence, maintaining databases, processing travel arrangements, and supporting meetings and workshops. The role requires a proactive approach to problem-solving and a commitment to delivering high-quality support services that align with the ILO's operational standards.

Duties and Responsibilities:
The Project Support Assistant will be responsible for a variety of tasks that contribute to the effective administration of the project. Key duties include:
  • Providing general office administration and finance support to ensure timely delivery of business operations.
  • Drafting and preparing standard correspondence and materials, ensuring clarity and compliance with applicable standards.
  • Maintaining and updating databases, processing routine administrative actions in the ERP system related to contracts, purchase orders, and payments.
  • Arranging all administrative aspects of official travel, including travel authorizations, visas, and accommodations.
  • Supporting the organization of meetings, seminars, and workshops, including preparing materials and liaising with participants.
  • Maintaining organized filing systems for operational transactions and ensuring compliance with relevant rules and regulations.
  • Drafting payment-related correspondence and maintaining accurate records.
  • Supporting procurement activities by liaising with technical teams and ensuring adherence to ILO guidelines.
  • Undertaking additional duties as assigned by the Finance & Operations Officer and the Country Office Director.

Required Qualifications:
Candidates must possess a completion of secondary school education, with a first-level university degree being an advantage. They should have at least three years of experience in general office management and clerical support work. Familiarity with ILO policies and procedures, as well as experience working with government institutions or international organizations, is highly desirable. The ability to prioritize tasks, work independently, and adapt to changing demands is essential. Proficiency in basic computer software, including Microsoft Office applications, is required, along with strong organizational and communication skills.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. A first-level university degree is considered an advantage, as it may provide candidates with a broader understanding of the administrative and operational functions required in this role.

Experience:
Candidates should have a minimum of three years of relevant experience in general office management and clerical support. Experience working within the Arab region, particularly with government institutions, social partners, or UN/international organizations, is advantageous and may enhance a candidate's suitability for the role.

Languages:
Excellent knowledge of English is mandatory, along with a good knowledge of Arabic. Proficiency in both languages is essential for effective communication and documentation within the ILO and with external stakeholders.

This position is a fixed-term contract for one year, with the possibility of extension based on various factors, including funding availability and performance. The entry-level salary for this position is 192,612 QAR annually. Candidates must possess a valid Qatari ID or work permit to be eligible for employment in Qatar.
