Job Overview: As an Associate Legal Operations Officer within the Office of the General Counsel (OGC) at ADB, you will play a crucial role in the administration of the Law and Policy Reform (LPR) Program. This position involves overseeing the lifecycle of technical assistance (TA) projects, from approval to completion, ensuring compliance with ADB's policies and procedures. You will work closely with the LPR Team and other OGC staff, providing guidance on administrative aspects of LPR TA projects. Your responsibilities will include monitoring budget utilization, managing funding applications, and ensuring accurate data management and reporting. You will also be responsible for maintaining effective communication with various stakeholders, including consultants and resource persons, to facilitate the smooth execution of projects. This role requires a proactive approach to problem-solving and a strong ability to manage multiple projects simultaneously, making it essential for the successful implementation of the LPR Program.
Duties and Responsibilities: The duties and responsibilities of the Associate Legal Operations Officer include:
Serving as the primary focal point for LPR Program TA portfolio administration, proactively monitoring budget utilizations, disbursements, and contract completion dates.
Providing guidance to OGC staff and consultants on TA administration issues, including recruitment, contract variations, and payments.
Updating project profiles and information in ADB systems, ensuring compliance with funding source requirements.
Monitoring TA contracts, preparing for missions, and handling logistical arrangements for events.
Maintaining accurate records of TAs and preparing completion reports.
Managing the creation and updating of LPR TA SharePoint sites and databases for effective tracking.
Contributing to the annual Work Program and Budget Framework and funding applications for LPR TAs.
Supporting the preparation of OGC's annual publishing pipeline related to LPR publications.
Staying updated on ADB policies and attending relevant internal trainings. 1
Performing other duties as assigned, including special projects in support of OGC's operations.
Required Qualifications: To qualify for the position of Associate Legal Operations Officer, candidates must possess a Bachelor's degree and a minimum of 5 years of relevant experience. A strong working knowledge of ADB's operational policies and procedures, particularly in TA operation and administration, is essential. Candidates should demonstrate strong coordination and communication skills, a collaborative team approach, and excellent organizational, analytical, and problem-solving abilities. A proactive and resourceful mindset, along with strong English communication skills, is required. Proficiency in computer and digital literacy, including Word, Excel, PowerPoint, and virtual platforms such as MS Teams and Zoom, is also necessary. Educational Background: The educational background required for the Associate Legal Operations Officer position includes a Bachelor's degree in a relevant field.
