Job Overview:
The Project Associate position is integral to the implementation of the Renewable Energy Solutions (RES) Programme, which aims to support the large-scale deployment of renewable energy technologies in Ukraine. This role involves providing comprehensive support for project activities, ensuring high-quality and accurate work within the Energy and Environment Portfolio. The Project Associate will assist in coordinating and implementing project activities, monitoring and evaluating progress, and maintaining communication with partners and beneficiaries. The position requires a proactive approach to problem-solving and a commitment to the principles of sustainability, resilience, and transparency in energy infrastructure restoration and transformation in Ukraine.

Duties and Responsibilities:
  • Support in the coordination and implementation of designated project activities: Assist in the coordination and implementation of selected activities/components within different projects, provide comprehensive support to monitoring and evaluation activities, assist in data collection, and maintain updated databases and contact lists. Prepare regular updates and reports on project progress, emerging issues, and proposals for remedial actions. Participate in various project activities such as meetings, round tables, and conferences as requested. Organize online and offline events and ensure compliance with UNDP rules and regulations.
  • Provide administrative and logistical support: Organize and coordinate meetings, training sessions, workshops, and project events, preparing reports and meeting minutes as required. Manage project finances, process invoices, and maintain budgetary controls and records. Assist in procurement processes, including preparing tender documentation and managing vendor creation. Support recruitment processes for short-term consultants and assist project teams with travel and logistics matters.
  • Support networking and communication with partners and beneficiaries: Maintain cooperation and communication with project partners and beneficiaries, especially for events and workshops. Keep a contact database and assist in sharing information and following up on partnership-related issues. Prepare official correspondence for national and international partners.
  • Support knowledge building and capacity building: Participate in training and organize briefings on internal procedures for project staff. Support capacity-building activities, including designing tools and materials for workshops. Disseminate relevant data and lessons learned within the country office and regionally, keeping abreast of emerging best practices. Compile and systematize project knowledge and tools for wide distribution to partners.

Required Qualifications:
The position requires a minimum of six years of relevant work experience with secondary education or three years with a bachelor's degree in fields such as Business Administration, Management, Economics, Human Resources, Finance, Accounting, or Social Sciences. Proficiency in computer usage and office software packages (MS Word, Excel, etc.) is essential. Experience with UN/UNDP or international organizations is desired, along with skills in organizing events, performing administrative tasks, and facilitating procurement processes. Familiarity with ERP systems, such as Quantum, is a plus.

Educational Background:
A secondary education is required, while a university degree (Bachelor’s degree) in relevant fields will be given due consideration. Candidates with a background in Business Administration, Management, Economics, Human Resources, Finance, Accounting, or Social Sciences are preferred.

Experience:
Candidates should have a minimum of six years of relevant work experience in project support or related fields if they possess secondary education, or three years if they hold a bachelor's degree. Experience in organizing events, administrative tasks, and procurement processes is highly valued.

Languages:
Fluency in English is required, along with fluency in Ukrainian for local personnel. Proficiency in additional languages may be considered an asset.
