Job Overview:
The Procurement and logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer will be responsible for managing the resources management functions under the supervision of the Chief of Mission in Cyprus and the Senior Accounting, Finance and Administration Assistant. This role involves ensuring compliance with IOM's procurement rules and regulations, assisting in procurement activities, and maintaining effective communication with relevant stakeholders. The successful candidate will play a crucial role in the procurement process, from obtaining quotations and preparing evaluations to ensuring timely delivery of goods and services. The position requires a proactive approach to managing procurement activities and a commitment to upholding IOM's standards and policies.

Duties and Responsibilities:
  • Ensure compliance with procurement processes and procedures in coordination with the Manila Global Procurement and Supply Unit (GPSU).
  • Assist in procurement activities, including obtaining quotations, tendering, and preparing evaluations and recommendations.
  • Review and clarify purchase orders (PO) and specifications from relevant staff.
  • Follow up on PO status and keep Project Managers informed of delivery timelines.
  • Monitor the delivery of ordered goods/services and ensure compliance with PO specifications.
  • Assist in coordinating construction projects and provide guidance to Implementing Partners.
  • Maintain records of all transactions and ensure an efficient filing system for procurement documentation.
  • Prepare payment documentation and liaise with the finance section regarding payments.
  • Perform any other duties as assigned within the incumbent's capabilities.

Required Qualifications:
The ideal candidate should possess a university degree or equivalent in Business Administration, Management, Logistics, or Procurement, along with at least three years of relevant professional experience in Procurement and Logistics. Alternatively, candidates with a High School diploma and five years of relevant experience will also be considered. Experience in procurement and logistics, particularly within international organizations or multi-cultural settings, is highly desirable. Knowledge of asset management processes and experience liaising with donors and governmental authorities are also advantageous.

Educational Background:
Candidates must have a university degree or equivalent from an accredited academic institution, preferably in fields related to Business Administration, Management, Logistics, or Procurement. Accredited universities are those listed in the UNESCO World Higher Education Database. A High School diploma with significant relevant experience is also acceptable.

Experience:
Candidates should have a minimum of three years of relevant professional experience in procurement and logistics. Experience working in international organizations, non-governmental organizations, or government institutions in a multi-cultural setting is an advantage. Familiarity with EU and Cyprus national procurement regulations and procedures is also beneficial.

Languages:
Fluency in English and Greek (both written and oral) is required for this position. IOM's official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process, which could include written and/or oral assessments.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Cyprus will be considered. The appointment will be contingent upon medical fitness certification, verification of residency, visa, and necessary government authorizations.
