Job Overview:
The Supply Chain Assistant Logistics position is crucial for ensuring the smooth operation of logistics and supply chain activities within the Bidibidi settlement. This role involves coordinating fleet management, warehouse operations, and inventory tasks while collaborating closely with the regional office. The primary goal is to provide timely and efficient support to program teams, ensuring that all logistical operations align with DRC's internal procedures and donor requirements. The Supply Chain Assistant will be responsible for maintaining high standards of efficiency and effectiveness in all supply chain activities, promoting value for money, and adhering to the Operations Handbook and Quality Standards. This position requires a proactive approach to problem-solving and the ability to work independently while also being a team player.

Duties and Responsibilities:
The Supply Chain Assistant will undertake a variety of duties, including but not limited to:
  • Inventory Handling: - Receive and verify all supplies delivered from the regional office, ensuring compliance with technical specifications. - Notify program teams about the arrival of stock items to facilitate timely dispatches. - Maintain the office store/warehouse, implementing proper systems, procedures, and safety measures. - Document all stock-related transactions accurately and maintain relevant records. - Provide support for payment documentation related to field-based activities. - Act as a liaison between settlement-based providers and the regional office, offering timely feedback on invoice statuses.
  • Transport & Fleet Support: - Ensure timely fuel replenishment and accountability for vehicle allocations. - Coordinate vehicle movements based on transport requests, ensuring effective planning and adherence to schedules. - Collaborate with the regional office on fleet resource planning and allocation. - Conduct daily and weekly vehicle safety checks, maintaining relevant records. - Prepare and submit monthly fleet-related reports to the Country Supply Chain Manager. - Manage accident reports and coordinate necessary actions with the line manager.
  • Assets Management Support: - Ensure adherence to DRC's operational guidelines regarding asset management. - Promote transparency and accountability in the use of DRC assets. - Work with the regional office and Kampala Country Office on documentation and reporting for asset transfers, donations, and disposals.
  • Other Roles: - Prepare and submit reports as required. - Maintain an organized archiving system for supply chain documentation on the DRC SharePoint platform. - Perform additional duties as assigned by the line manager.

Required Qualifications:
To be considered for this position, candidates must possess the following qualifications: - A minimum of a bachelor’s degree in procurement and logistics, supply chain management, or business administration with a focus on procurement or supply chain management. - Demonstrated understanding and working knowledge of logistical principles, concepts, and processes. - Strong interpersonal skills and the ability to communicate effectively. - Capability to work independently with minimal supervision. - Proficiency in computer applications is essential. - Experience with ERP systems is advantageous. - Cultural sensitivity and the ability to work in a diverse environment are important.

Educational Background:
Candidates must have a bachelor’s degree in a relevant field such as procurement and logistics, supply chain management, or business administration with a major in procurement or supply chain management. This educational background is essential for understanding the complexities of supply chain operations and logistics management in an international context.

Experience:
The ideal candidate should have a minimum of 2 years of working experience in a busy International Non-Governmental Organization (INGO) environment. This experience should include a solid understanding of donor financial requirements, government budgets, and tax policies, which are critical for effective supply chain management in humanitarian settings.

Languages:
Full professional proficiency in English is mandatory for this position. This proficiency is essential for effective communication within the organization and with external stakeholders. Additional language skills may be considered an asset, particularly if they relate to the local context or the populations served by DRC.

Additional Notes:
The contract for this position is for a duration of 11 months, with a designated duty station in Bidibidi. The expected start date for this role is February 202
