Job Overview: The Information Management Assistant will play a crucial role in supporting the Helios+ project, which aims to integrate third-country nationals into the labor market in Greece. This position involves working closely with national and local authorities, as well as experienced partners, to facilitate the integration of beneficiaries of international protection. The successful candidate will be responsible for maintaining and developing databases that support project activities, ensuring accurate data collection and management, and contributing to the overall efficiency of the project. The role requires a proactive approach to problem-solving and a commitment to improving processes related to information management. The candidate will also be involved in capacity-building activities, providing training to field staff on data protection principles and data management tools. This position is vital for ensuring that the project meets its objectives and complies with IOM policies and donor requirements.
Duties and Responsibilities:
Support the development and maintenance of a database for project activities, ensuring it includes beneficiaries' data and other relevant information.
Assist field staff in the collection and entry of data, providing end-user support for Information Management (IM) tools.
Compile, clean, validate, and process collected data to ensure accuracy.
Keep IM tools updated and contribute to process improvements to enhance work efficiency.
Ensure that monitoring and reporting tools are functional and include indicators requested by donors.
Develop and maintain Standard Operating Procedures (SOPs) related to IM, ensuring compliance with IOM policies and donor requirements.
Collaborate with implementing partners to develop a common Information Management strategy.
Prepare and consolidate reports for Senior Management, donors, and stakeholders as required.
Ensure compliance with IOM Data Protection Principles and GDPR regarding beneficiaries' personal data. 1
Participate in capacity-building activities, including training field staff on data protection and data management tools. 1

Required Qualifications: Candidates must possess a high school degree/certificate with three years of relevant work experience, or a university degree/certificate in System Engineering, Statistics, Mathematics, Computer Science, or a related field from an accredited institution with one year of relevant work experience. A Master's degree in the aforementioned fields will be considered an advantage. Candidates should demonstrate strong computer literacy in standard software applications and possess a valid driver's license with at least five years of driving experience, which is an advantage. Strong work ethics and a commitment to humanitarian principles are essential.
Educational Background: The educational background required for this position includes a high school diploma or equivalent with significant work experience, or a university degree in a relevant field such as System Engineering, Statistics, Mathematics, or Computer Science. Candidates with a Master's degree in these fields will have an advantage. It is important that the educational qualifications are from accredited institutions recognized by the UNESCO World Higher Education Database.
Experience: The position requires at least one year of previous work experience, preferably in a multi-cultural environment. Experience in data management and information systems is highly desirable. Candidates should also have a valid driver's license and a minimum of five years of driving experience, which is considered an advantage. The ability to work effectively in a team and adapt to a dynamic work environment is crucial.
Languages: Fluency in English and Greek, both written and oral, is mandatory for this position. The IOM's official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process, which could include written and/or oral assessments.
