Job Overview:
The Officer in the Procurement Policy and Advisory Department (PPAD) plays a crucial role in providing administrative and secretarial support to the Implementation Units. This position is essential for ensuring the smooth operation of the team's activities, which include travel planning, expense management, and the organization of departmental events and meetings. The Officer will be responsible for maintaining effective communication within the department and with external stakeholders, ensuring that all administrative tasks are executed efficiently and professionally. Duties and Responsibilities:
The Officer's duties include making hotel and travel arrangements, creating itineraries, and arranging visas to ensure seamless travel experiences. The Officer will also provide coverage for other Officers and Assistants during their absences, ensuring continuity of operations through effective handover notes. Responsibilities extend to screening telephone calls, responding to external queries, and directing calls to appropriate department members. The Officer will maintain comprehensive filing systems, both in hard copy and electronic formats, and will be tasked with organizing internal and external conferences, presentations, and meetings, including international video conferences. Drafting routine business correspondence, preparing and checking team documentation, and conducting various secretarial and administrative tasks as required are also key responsibilities. Additionally, the Officer will maintain the team's shared calendar and weekly whereabouts, ensuring that all team members are informed of schedules and commitments.

Required Qualifications:
Candidates must possess secondary or high school education, with a recognized secretarial qualification being advantageous but not mandatory. Fluency in English, with excellent written and oral communication skills, is essential. Knowledge of an additional language such as Russian, German, French, or Arabic, both written and spoken, would be beneficial.
