Job Overview: The Information Management Assistant will play a crucial role in supporting the IOM's project aimed at integrating third-country nationals into the labor market in Western Greece. This position involves close collaboration with national and local authorities, as well as experienced partners, to ensure effective data management and reporting. The successful candidate will be responsible for developing and maintaining databases that support project activities, ensuring that data collection tools are functional and user-friendly. The role requires a proactive approach to process improvement, ensuring compliance with IOM policies and donor requirements. The Information Management Assistant will also contribute to capacity-building activities, providing training to field staff on data protection principles and data management practices. This position is essential for promoting the integration of beneficiaries of international protection into Greek society through various support activities, including employability support and vocational training.
Duties and Responsibilities: The duties and responsibilities of the Information Management Assistant include:
Supporting the development and maintenance of a comprehensive database for project activities, ensuring accurate and timely data entry.
Assisting field staff with data collection and providing end-user support for Information Management tools.
Compiling, cleaning, validating, and processing collected data to ensure its accuracy and reliability.
Keeping Information Management tools up to date and functional, contributing to process improvements to enhance work efficiency.
Ensuring that monitoring and reporting tools include all necessary indicators as requested by donors and are operational at all times.
Developing and maintaining Standard Operating Procedures (SOPs) related to Information Management, ensuring compliance with IOM policies and donor requirements.
Collaborating with implementing partners to develop a common Information Management strategy.
Preparing and consolidating reports for Senior Management, donors, and other stakeholders as required.
Ensuring the accuracy and validity of beneficiaries' personal data in compliance with IOM Data Protection Principles and the General Data Protection Regulation (GDPR). 1
Contributing to capacity-building activities, including training field staff on data protection principles and relevant data management tools. 1
Performing any other duties as assigned by the supervisor.
Required Qualifications: The required qualifications for the Information Management Assistant position include:
A high school degree/certificate with three years of relevant work experience; or a university degree/certificate in System Engineering, Statistics, Mathematics, Computer Science, or a related field from an accredited academic institution with one year of relevant work experience.
A Master's degree in the aforementioned fields will be considered an advantage.
Strong work ethics and a commitment to humanitarian principles are required.
Experience in working in a multi-cultural environment is preferred.
A valid driver's license with at least five years of driving experience is an advantage.
Educational Background: Candidates must possess a high school degree or certificate with three years of relevant work experience, or a university degree or certificate in System Engineering, Statistics, Mathematics, Computer Science, or a related field from an accredited academic institution with one year of relevant work experience. A Master's degree in the relevant fields will be considered an advantage. Accredited universities are those listed in the UNESCO World Higher Education Database, ensuring that candidates have received their education from recognized institutions.
Experience: The position requires at least one year of previous work experience in a relevant field. Experience in working within a multi-cultural environment is preferred, as the role involves collaboration with diverse stakeholders. Additionally, having a valid driver's license with a minimum of five years of driving experience is considered an advantage, as it may facilitate travel for project-related activities.
Languages: Fluency in English and Greek (both written and oral) is required for this position. As IOM's official languages include English, French, and Spanish, proficiency in these languages may be beneficial but is not mandatory. The selection process will specifically evaluate the required language skills, which may include written and/or oral assessments to ensure candidates meet the communication needs of the role.
Additional Notes: This position is subject to local recruitment, meaning that only candidates holding a valid residence and work permit for Greece will be eligible for consideration.
