Job Overview: The Executive Administrative Assistant role is designed to provide comprehensive administrative support to the Senior Vice President (SVP) of Global Operations and Services (GOS) and other senior leadership within the GOS team. This position requires a high level of organization and attention to detail, as the assistant will manage complex calendars, coordinate meetings across multiple time zones, and handle sensitive communications. The role involves not only traditional administrative tasks but also requires the ability to interpret and summarize information, manage procurement documentation, and coordinate logistics for international travel. The assistant will be expected to develop and implement efficient administrative procedures that align with GOS communication protocols, ensuring that all tasks are completed accurately and in a timely manner. The ideal candidate will be proactive, adaptable, and capable of working independently while managing multiple priorities effectively.
Duties and Responsibilities: The duties and responsibilities of the Executive Administrative Assistant include performing advanced-level administrative tasks with precision, serving as the primary point of contact for internal and external inquiries, and acting as a liaison between the SVP and various stakeholders. The assistant will manage and monitor information relevant to the SVP's responsibilities, exercise delegated authority to communicate on behalf of the SVP, and compile procurement documentation in accordance with organizational policies. Additionally, the role involves scheduling and organizing complex activities such as meetings, travel arrangements, and departmental events, as well as preparing and maintaining documentation, reports, and databases. The assistant will also create and edit presentations, proofread documents for accuracy, and coordinate special projects as needed. Required Qualifications: Candidates must possess an Associate's Degree or an international equivalent in Business Administration or a related field, with a Bachelor's Degree preferred. The role requires a minimum of 5 years of administrative experience, with advanced knowledge of Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) being essential.
