Job Overview: The Warehouse Assistant position is crucial for supporting IOM's programming in Legazpi City, Philippines. The successful candidate will work under the supervision of the Head of Resources Management and the Senior Supply Chain Associate. The role involves assisting with various warehouse functions, including the management of goods received and dispatched, maintaining accurate warehouse records, and ensuring compliance with IOM policies and standards. The Warehouse Assistant will be responsible for the day-to-day operations of the warehouse, which includes receiving goods, inspecting them for quality and quantity, and managing the documentation associated with warehouse operations. This position requires a proactive approach to ensure that all tasks are completed efficiently and in accordance with established procedures, contributing to the overall effectiveness of IOM's logistical operations in the region.
Duties and Responsibilities: The duties and responsibilities of the Warehouse Assistant include:
Assisting in the day-to-day management of the warehouse, including receiving goods, updating records, and dispatching items for operations.
Inspecting received goods for compliance with specifications and standards.
Monitoring loading and offloading activities, providing support to hired labor as necessary.
Issuing Receiving Report Forms and Stock Release Authorization Forms for warehouse items.
Conducting physical stock inventories and updating inventory records accordingly.
Maintaining the warehouse facility, ensuring proper stacking and storage of goods.
Assisting in maintaining security" style="border-bottom: 1px dotted #007bff !important;">security and safety measures within the warehouse premises.
Performing any other duties as assigned by the Warehouse Manager.
Required Qualifications: Candidates must possess a Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field from an accredited institution, along with two years of relevant professional experience. Alternatively, candidates with a High School diploma and four years of relevant work experience will also be considered. Additionally, candidates should demonstrate good organizational skills, attention to detail, and the ability to manage multiple tasks under time constraints. Knowledge of supply management, logistics, and warehousing is essential, along with proficiency in MS Office applications.
Educational Background: The educational background required for this position includes a Bachelor’s degree in a relevant field such as Supply Chain Management, Logistics, or Business Administration from an accredited academic institution. Accredited universities are those listed in the UNESCO World Higher Education Database. Candidates with a High School diploma may qualify if they have extensive relevant work experience.
Experience: Candidates should have experience working with international organizations, which is considered an advantage. A good level of computer literacy is required, particularly proficiency in MS Windows and MS Office applications. Experience in logistics, supply management, and warehousing is essential, along with familiarity with spreadsheet and data analysis tools. Completion of professional courses in Warehouse Management is an added value.
Languages: Fluency in English and Filipino is required for this position, both oral and written. IOM’s official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process, which could include written and/or oral assessments.
