Job Overview: The Procurement and logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer will be responsible for managing the resources management functions in the Sub-Office in Amman. This role involves overseeing procurement processes, ensuring compliance with organizational policies, and maintaining effective communication with suppliers and service providers. The officer will also be tasked with monitoring the delivery of goods and services, managing vendor relationships, and maintaining accurate records of procurement activities. The position requires collaboration with various units within the organization to ensure that procurement activities align with IOM's operational needs and standards.
Duties and Responsibilities:
Receive and consolidate procurement requisition forms, ensuring they are complete and compliant with the Purchase Authorization Matrix.
Prepare tender documents and solicit bids and quotations as necessary.
Analyze bids and prepare summaries for the requesting unit.
Confirm terms of agreement with selected suppliers and prepare necessary documentation such as purchase orders and contracts.
Monitor the status of open requisitions and ensure timely delivery of goods and services.
Coordinate with the receiving unit to obtain satisfactory delivery notes upon delivery.
Review vendor invoices and prepare payment requests, coordinating with Finance for timely payments.
Maintain physical and electronic records of all procurement documentation in accordance with IOM procedures.
Conduct market surveys to identify potential suppliers and evaluate them based on quality, price, and service. 1
Track contractual agreements and inform relevant parties for timely renewals. 1
Monitor office supplies and prepare requisitions as needed. 1
Provide technical information to staff regarding procurement instructions and procedures. 1
Two years of relevant professional experience, or a high school diploma with four years of relevant experience.
Certification in Procurement, Logistics, or Supply Chain Management is an advantage.
High level of computer literacy and ability to prepare clear and concise reports.
Excellent communication and negotiation skills.
Ability to work effectively with national and international institutions.
Educational Background: Candidates must possess a university degree in a relevant field such as Business Administration, Accounting, Logistics, or Supply Chain Management from an accredited academic institution. Alternatively, a high school diploma combined with four years of relevant professional experience is acceptable. Accreditation of universities must be verified through the UNESCO World Higher Education Database.
Experience: Candidates should have experience in procurement and logistics, including working with vendors and service providers. Experience with asset management processes and familiarity with IOM/UN Procurement and Logistics Rules and Procedures is advantageous. Additionally, experience working in an international organization is preferred, as it demonstrates the ability to navigate complex operational environments and adhere to international standards.
Languages: Fluency in English is required for this position, both oral and written. Knowledge of IOM's official languages, which include French and Spanish, is considered an asset and may be evaluated during the selection process through written and/or oral assessments.
Additional Notes: This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Jordan will be considered. The appointment is contingent upon medical fitness certification, verification of residency, visa, and government authorizations where applicable. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
