Job Overview:
The Editorial Associate position within the Languages, Publications and Conference Management (LPC) section of ICAO is crucial for ensuring the quality and timely production of Chinese publications. The role involves working closely with the Chief of the Chinese Translation and Editorial Section, where the incumbent is expected to operate independently on assigned tasks while adhering to high editorial standards. The Editorial Associate will be responsible for proofreading, editing, formatting, and releasing both saleable and non-saleable Chinese publications, ensuring they meet the quality controls established by the organization. This position requires a strong command of the Chinese language, as well as a good working knowledge of English, to facilitate effective communication and collaboration with other language sections and editorial teams. The role also includes typesetting publications for both print and electronic formats, maintaining definitive copies of documents, and preparing materials for internal and external translators. The Editorial Associate must stay updated on language usage, ICAO terminology, and desktop publishing techniques to ensure the accuracy and consistency of all publications produced.

Duties and Responsibilities:
  • Collaborate with the Chief/Supervisor to ensure the timely processing of Chinese publications, including proofreading, editing, and formatting.
  • Typeset Chinese publications for printing and electronic publishing, ensuring consistency with English versions.
  • Maintain and verify the Word and PDF versions of Chinese publications, ensuring they are the definitive copies.
  • Prepare materials for internal and external translators, including relevant electronic files and graphics.
  • Stay updated with Chinese language usage and ICAO terminology, conducting research as needed.
  • Perform other related duties as assigned, contributing to the overall efficiency of the editorial team.

Required Qualifications:
The ideal candidate must possess a diploma of College Studies (DEC) or equivalent education, with training or certification in languages being desirable. A minimum of six years of professional experience in editing and document production processes is essential, along with experience in proofreading and page make-up. Familiarity with graphic design software such as InDesign and/or Illustrator is considered an asset, as is experience with ICAO operations and publications. The candidate should demonstrate the ability to work collaboratively in complex processes with high production levels.

Educational Background:
Candidates must have a diploma of College Studies (DEC) or an equivalent level of education. Additional training or certification in languages is desirable, indicating a strong foundation in language skills necessary for the role.

Experience:
Candidates should have at least six years of relevant experience in editing and document production processes. This experience should include a strong background in editing, proofreading, and page make-up, demonstrating the ability to manage complex editorial tasks effectively. Experience with graphic design software and familiarity with ICAO operations will be advantageous.

Languages:
The position requires an excellent command of Chinese as the mother tongue or the language used for education, along with a very good working knowledge of English. Knowledge of additional languages of the Organization (Arabic, French, Russian, Spanish) is desirable but not mandatory.

Additional Notes:
This position is open to applicants who hold Canadian citizenship, Canadian Permanent Residency, or a valid work permit. The role is fixed-term for an initial period of three years, with the first year being probationary for external candidates. ICAO staff members are expected to conduct themselves in a manner befitting their status as international civil servants, adhering to the Standards of Conduct defined in the ICAO Service Code. The position offers a net base salary of CAD $55,741 per annum, along with an attractive benefits package in accordance with the policies of the International Civil Service Commission (ICSC). The statutory retirement age for staff entering or re-entering service after January 1, 2014, is 65 years.
