Job Overview:
The Lead coordinator" style="border-bottom: 1px dotted #007bff !important;">Administrative Coordinator position within the African Department (AFR) is a vital role that supports the administrative and organizational functions of the Western II Division. This position is designed for a motivated individual who will assist the Division Chief and Deputy Division Chiefs in managing the division's operations effectively. The coordinator will be responsible for a variety of tasks that ensure the smooth functioning of the division, including document management, meeting organization, logistical support, and workflow management. The role requires a proactive approach to problem-solving and the ability to work collaboratively with team members to achieve departmental goals. The selected candidate will also contribute to department-wide initiatives, showcasing their ability to adapt and support broader organizational objectives.

Duties and Responsibilities:
The Lead Administrative Coordinator will have a comprehensive set of responsibilities that include:
  • Document Management: Preparing country-related documents, briefs, and memos with precision, ensuring adherence to IMF style and formatting guidelines. Transmitting documents for review by various departments, management, and the Board.
  • Meeting and Events: Organizing meetings, seminars, workshops, and conferences, which includes planning, material production, scheduling, logistical arrangements, and liaising with participants and speakers. Initiating social gatherings within the division to promote team building and cohesion.
  • Logistical Support: Managing travel arrangements for division members and handling expense reports efficiently.
  • Workflow Management: Overseeing AFR’s Review Box, disseminating action items, tracking responses, and following up on deadlines. Assisting with administrative processes within the division and monitoring the busy work agenda, ensuring that action items and shifting priorities are managed effectively.
  • Department-Wide Initiatives: Occasionally contributing to and supporting department-wide initiatives, demonstrating flexibility and a willingness to engage in broader organizational efforts.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, supplemented by a minimum of six years of relevant experience. At least two of the six required years must be in a lead role for external candidates. The ideal candidate should demonstrate strong administrative, technological, and organizational skills, with the ability to work accurately under pressure and manage multiple tasks simultaneously. Proficiency in Microsoft Word, Excel, Microsoft Teams, and various software applications is essential, along with familiarity with PeopleSoft, DARTS, TIMS, DM5, and Fund practices and procedures. Flexibility with working hours and readiness for overtime is also required.

Educational Background:
The educational background required for this position typically includes the completion of a high school diploma or equivalent. Additional certifications or training in administrative support, project management, or related fields may be beneficial but are not explicitly required.

Experience:
The position requires a minimum of six years of relevant experience, with at least two years in a lead role for external candidates. Additional Notes:
This position is classified under the A05, A06 hiring levels within the IMF. Selected candidates who are regular staff members will maintain their open-ended status, while contractual employees will be offered a Term staff appointment. Staff members currently on a term appointment may continue their current term but may receive an extension if their term has not already been extended. Only candidates residing in the Washington DC metro area will be considered for this position.
