Job Overview: The Senior Assistant position is a vital role within the Development division of WWF, aimed at ensuring the smooth functioning of various administrative tasks. This position reports directly to the director" style="border-bottom: 1px dotted #007bff !important;">Senior Director of Board and National Council Relations and Institutional Partnerships, providing support to multiple sub-teams, including the Executive Vice President of Philanthropic Partnerships. The role encompasses a variety of responsibilities, including managing calendars, organizing meetings and events with donors and Board members, processing expenses, and planning staff travel. The ideal candidate will demonstrate strong organizational and administrative skills, ensuring that all tasks are completed efficiently and effectively to support the organization's mission.
Duties and Responsibilities: The Senior Assistant will be responsible for a range of tasks, including:
Data Entry and Information Processing (40%): - Processing and coding credit card transactions and invoices using financial software systems such as Workday and SmartSimple. - Preparing check and wire requests, handling expense coding, and resolving discrepancies in data reconciliation. - Maintaining logs, records, and lists using Microsoft Word, Excel, or specialized databases like SharePoint. - Validating and inputting data into the Blackbaud Customer Relationship Management (CRM) database.
Meeting Coordination and Travel Support (40%): - Managing the calendar for the Executive Vice President of Philanthropic Partnerships and organizing complex meetings. - Assisting with logistics for meetings, conferences, and special events, including maintaining attendee lists and coordinating space and equipment needs. - Supporting team travel requests by booking air, train, hotel, and other travel logistics through WWF’s travel provider.
General Office Support (20%): - Ordering office supplies and assisting with the production and distribution of documents and reports. - Managing executive correspondence and drafting emails and letters as needed. - Performing miscellaneous office administrative tasks as required.
Required Qualifications: Candidates must possess 3 to 5 years of professional administrative experience, demonstrating strong organizational and analytical skills with meticulous attention to detail. Excellent written and verbal communication skills are essential, along with interpersonal skills that require courtesy, tact, and diplomacy. The ability to take initiative, prioritize tasks, meet deadlines, and work with minimal supervision is crucial. Candidates should also be able to learn quickly and excel in a fast-paced executive environment. Proficiency in word processing, spreadsheet, and presentation software is required, with experience in Microsoft Office Suite being desirable.
