Job Overview:
The Project Support Assistant will play a crucial role in the implementation of the Displacement Tracking Matrix (DTM) project in Nigeria. This position requires the successful candidate to provide comprehensive administrative and project support, ensuring that project activities are executed efficiently and effectively. The role involves close collaboration with the DTM Programme Officer and the DTM Senior Programme Associate, facilitating the smooth operation of project activities. The assistant will be responsible for retrieving, compiling, summarizing, and presenting data on specific project topics, which is essential for monitoring and evaluating project progress. Additionally, the candidate will monitor the project budget, verify the availability of funds, and ensure that all necessary approvals are obtained. The role also includes drafting various forms of documentation, organizing meetings and workshops, and responding to inquiries, which are vital for maintaining effective communication and coordination among stakeholders.

Duties and Responsibilities:
The duties and responsibilities of the Project Support Assistant include:
  • Providing administrative support for the implementation of the DTM project, including liaising with various organizational units and external parties.
  • Assisting in the implementation and monitoring of project activities, ensuring adherence to timelines and objectives.
  • Retrieving, compiling, summarizing, and presenting information/data on specific project topics to facilitate decision-making.
  • Monitoring the project budget, verifying the availability of funds, and updating budget-related information as necessary.
  • Drafting status reports that identify shortfalls in project delivery and bringing these to the attention of the supervisor.
  • Preparing correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other documentation as required.
  • Organizing meetings, workshops, and training sessions to support project objectives.
  • Responding to general information requests and inquiries, maintaining files and records for project documentation.
  • Performing other related duties as assigned by the supervisor to support project implementation.

Required Qualifications:
The ideal candidate for the Project Support Assistant position should possess the following qualifications:
  • A school diploma with four years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with two years of relevant professional experience.
  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations.
  • Familiarity with working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups.
  • Prior work experience with international humanitarian organizations or in a multi-cultural setting is an advantage.

Educational Background:
Candidates must have either a school diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related areas. The educational institution must be accredited, as recognized by the UNESCO World Higher Education Database.

Experience:
The position requires candidates to have a minimum of two years of relevant professional experience if they hold a Bachelor’s degree, or four years of relevant experience if they possess a school diploma. Experience should include working with governmental authorities, international organizations, and NGOs, particularly in contexts involving migrants and vulnerable populations. Familiarity with humanitarian operations and multi-cultural environments is highly desirable.

Languages:
Fluency in English, both oral and written, is mandatory for this position. Additionally, a working knowledge of local languages in the Northeast, North-West, and North-Central regions of Nigeria is desirable. Proficiency in IOM's official languages, which include English, French, and Spanish, will be evaluated during the selection process, potentially through written and/or oral assessments.

Additional Notes:
The position is subject to funding confirmation, and the selection process may be used to fill similar positions in various duty stations. Recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
