Job Overview: The Operations Associate position is crucial for supporting the UN Women Afghanistan Country Office in Jalalabad. This role involves a variety of operational, financial, and logistical activities that ensure the effective delivery of UN Women’s programmatic results at the Sub-Office level. The Operations Associate is expected to provide high-quality administrative and program support services, ensuring that all operations align with UN Women’s rules and regulations. The position requires a proactive approach to managing administrative tasks, facilitating communication between the Sub-Office and the Country Office, and ensuring that all operational processes are executed efficiently. The Operations Associate will also play a key role in supporting the implementation of programs that focus on gender in humanitarian action, ending violence against women, women's economic empowerment, and women's peace and security.
Duties and Responsibilities:
Provide administration and operations support to the Sub-Office, ensuring compliance with UN Women policies and strategies. This includes preparing program work plans, budgets, and proposals, participating in review meetings, and assessing the operational capacities of implementing partners.
Offer logistical and administrative support for meetings, workshops, and events, including travel arrangements for the program team and preparation of public information materials.
Coordinate procurement processes, including preparing procurement plans, generating reports, and managing contract negotiations.
Contribute to knowledge sharing by organizing training for staff, participating in monitoring visits, and compiling lessons learned in administration and procurement.
Required Qualifications: Candidates must have a strong understanding of administrative and procurement processes, with the ability to handle confidential information and manage a high volume of work. Proficiency in IT and web-based management systems is essential, along with the ability to extract and interpret data effectively. Candidates should demonstrate strong problem-solving skills, effective communication abilities, and a commitment to gender sensitivity and inclusivity in their work.
Educational Background: Completion of secondary education is required, while a Bachelor's degree in Business, Administration, or Finance is desirable. This educational background will provide the necessary foundation for understanding the complexities of administrative and operational functions within the UN Women framework.
Experience: A minimum of 6 years of progressively responsible experience in administration, finance, procurement, human resources, or logistics support services is required. Candidates should have experience working at the national or international level and be proficient in using office software packages such as MS Word and Excel. Familiarity with modern web-based ERP systems, particularly Oracle Cloud, is a plus.
Languages: Fluency in English is mandatory, along with fluency in Dari and/or Pashto. These language skills are essential for effective communication within the diverse context of Afghanistan and for engaging with various stakeholders.
