Job Overview:
The Recruitment Assistant position is integral to the global recruitment team (REC) within IOM, tasked with supporting the recruitment unit in managing all recruitment-related activities. The successful candidate will work under the overall supervision of the Head of Recruitment Unit and the direct supervision of the National Human Resource Officer. This role involves providing comprehensive administrative support throughout the recruitment process for both professional and general service categories. The Recruitment Assistant will be responsible for various tasks, including posting job vacancies, screening applications to ensure they meet minimum requirements, coordinating budget availability, formulating pre-screening questionnaires, scheduling interviews, and preparing routine correspondence to candidates. Additionally, the role includes assisting in the review of panel compositions to ensure balance and diversity, tagging candidates in the e-recruitment system, closing finalized requisitions, and notifying unsuccessful candidates. The Recruitment Assistant will also initiate background checks and verification requests, prepare statistical reports by compiling and organizing data, and assist in publishing recruitment-related content on official social media platforms. Monitoring and responding to basic queries received in the recruitment mailbox and social media channels, maintaining recruitment trackers, candidate rosters, and social media content calendars are also key responsibilities. The position requires flexibility to backstop other team members as needed and perform other related duties as assigned.

Duties and Responsibilities:
The duties and responsibilities of the Recruitment Assistant include:
  • Providing administrative support in the recruitment process, including posting vacancies and screening applications for minimum requirements.
  • Coordinating with relevant stakeholders on budget availability for recruitment activities.
  • Formulating pre-screening questionnaires to assist in the selection process.
  • Scheduling interviews and preparing routine correspondence to candidates regarding their application status.
  • Reviewing panel compositions to ensure balance and diversity among panel members.
  • Assigning access for panel members and HR focal persons in the recruitment platform as instructed.
  • Assisting in tagging candidates in the e-recruitment system and closing finalized requisitions.
  • Notifying unsuccessful candidates in a timely manner.
  • Initiating background checks and verification requests for selected candidates. 1
  • Supporting the preparation of statistical reports by compiling and organizing recruitment data. 1
  • Assisting in preparing and publishing recruitment-related content on official social media platforms, adhering to established templates and guidelines. 1
  • Monitoring and responding to basic queries received in the recruitment mailbox and social media channels, escalating complex issues to the supervisor or relevant team members. 1
  • Maintaining and monitoring recruitment trackers, candidate rosters, and social media content calendars as instructed. 1
  • Collecting and compiling data on recruitment and social media activities for reporting purposes. 1
  • Backstopping other team members as required and performing other related duties as assigned.

Required Qualifications:
The required qualifications for the Recruitment Assistant position include:
  • A university degree in Human Resources Management, Business Administration, Communications, or a related field from an accredited academic institution with two years of relevant experience; or
  • Completed high school/secondary school education with four years of relevant experience.
  • Accreditation from universities listed in the UNESCO World Higher Education Database is essential.
  • Experience in recruitment operations and administrative support is required.
  • Experience working in an international organization is considered an advantage.
  • High level of computer literacy, with experience in HR IT systems and applicant tracking systems being an advantage.
  • Strong organizational and time management skills are necessary.
  • Good verbal and written communication skills are essential.
  • Ability to work independently as well as part of a team is required. 1

Educational Background:
The educational background required for the Recruitment Assistant position includes:
  • A university degree in Human Resources Management, Business Administration, Communications, or a related field from an accredited academic institution.
  • Alternatively, candidates may qualify with completed high school/secondary school education combined with four years of relevant experience.
  • It is important that the educational qualifications are from accredited institutions recognized by the UNESCO World Higher Education Database.

Experience:

  • A minimum of two years of relevant experience in recruitment operations and administrative support for candidates with a university degree.
