Job Overview: The Team Assistant position at IFC in Rabat, Morocco, is designed to provide proactive administrative and operational support to the Rabat-based team. This role is pivotal in ensuring seamless coordination and fostering collaboration within the team, which is essential for the impactful delivery of development initiatives across the North-Africa region. The Team Assistant will be responsible for a variety of administrative tasks that contribute to the overall efficiency and effectiveness of the team. This includes managing schedules, coordinating travel, and assisting in the preparation and proofreading of important documents. The role requires a high level of organization and attention to detail, as well as the ability to work collaboratively with diverse teams. The Team Assistant will also play a key role in supporting events and workshops, ensuring that all logistical aspects are handled smoothly, and that all materials are prepared in advance. Duties and Responsibilities: The Team Assistant will have a comprehensive set of duties and responsibilities, including but not limited to: providing high-quality administrative support to the team, which encompasses scheduling meetings, managing calendars, and coordinating travel arrangements to ensure efficient operations; assisting in the preparation, formatting, and proofreading of documents, reports, presentations, and correspondence to maintain accuracy and professionalism; maintaining and organizing both physical and electronic filing systems to ensure easy access to critical documents and compliance with IFC record-keeping standards; supporting the planning and execution of events, workshops, and conferences, which includes logistics coordination, participant communication, and material preparation; processing and tracking expense reports, invoices, and other financial transactions in compliance with IFC guidelines and procedures; collaborating with team members to ensure timely and accurate data entry and updates in IFC systems, contributing to effective program monitoring and reporting; and proactively identifying and implementing process improvements to enhance team efficiency and align with IFC’s operational excellence goals.
Required Qualifications: The ideal candidate for the Team Assistant position will possess a Bachelor’s degree, preferably with additional certifications or coursework in business administration, finance, or related fields. A minimum of 4 years of relevant experience in administrative support, office management, or coordination roles is required, ideally within international organizations or financial institutions. Strong organizational skills are essential, with the ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment. Excellent written and verbal communication skills in both English and French are mandatory, while proficiency in Arabic is highly desirable.
