Job Overview:
The Project Coordinator will play a crucial role in the planning, coordination, implementation, and monitoring of project activities in the state of Minas Gerais. This position requires a proactive individual who can compile, summarize, analyze, and present information on specific project topics, ensuring that noteworthy issues are highlighted for consideration by relevant parties. The coordinator will be responsible for monitoring budget implementation, proposing necessary adjustments, and acting as the focal point for administrative coordination of project implementation. This includes extensive liaison with various organizational units and external parties to initiate requests, obtain necessary clearances, and follow up on administrative actions. The successful candidate will draft status reports, identify shortfalls in delivery, and suggest corrective measures, while also preparing and updating reports, briefing notes, graphics, and statistical tables. Organizing meetings, workshops, and training sessions will be part of the role, as well as responding to complex information requests and inquiries. The Project Coordinator will maintain effective liaison and coordination with local authorities, partners, UN agencies, intergovernmental and non-governmental organizations, donors, and other stakeholders relevant to the project. Additionally, the coordinator will monitor the work of implementing partners and report any non-compliance to the supervisor, provide inputs for the development of Standard Operations Procedures (SOP) and concept papers, and assist in the development of new projects. Guidance and training will also be provided to other staff in the unit, and the coordinator may supervise other staff as assigned.

Duties and Responsibilities:
  • Assist in the planning, coordination, implementation, and monitoring of project activities.
  • Compile, summarize, analyze, and present information/data on specific project topics.
  • Monitor budget implementation and propose adjustments as necessary.
  • Act as the focal point for administrative coordination of project implementation.
  • Draft status reports and identify shortfalls in delivery.
  • Prepare and update reports, briefing notes, graphics, and statistical tables.
  • Organize meetings, workshops, and training sessions.
  • Respond to complex information requests and inquiries.
  • Maintain files/records and participate in meetings and conferences. 1
  • Liaise and coordinate with local authorities, partners, UN agencies, and other stakeholders. 1
  • Monitor work of implementing partners and report non-compliance. 1
  • Provide inputs for the development of SOPs and concept papers. 1
  • Provide guidance/training and assist in coordinating and monitoring work of other staff. 1
  • Perform other related duties as assigned.

Required Qualifications:
  • School diploma with six years of relevant experience; or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with four years of relevant professional experience.
  • Experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs.
  • Experience working with migrants, refugees, internally displaced persons, and other vulnerable groups.
  • Prior work experience with international humanitarian organizations or in a multi-cultural setting is an advantage.
  • Excellent written and verbal communication and negotiation skills.
  • Strong performance in budget and financial administration; proven resource management skills.
  • Experience with handling confidential data.
  • Excellent academic writing skills.
  • Solid understanding of relevant government, civil society, UN, and private sector actors. 1
  • Proficiency in Microsoft Office applications.

Educational Background:
Candidates must possess either a school diploma with six years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution. Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience:
The position requires a minimum of four years of relevant professional experience for candidates with a Bachelor’s degree, or six years for those with a school diploma. Experience should include liaising with governmental authorities, national/international institutions, UN agencies, and NGOs, as well as working with migrants, refugees, and other vulnerable groups. Prior experience with international humanitarian organizations or in a multi-cultural setting is considered an advantage.

Languages:
Fluency in Portuguese is mandatory, along with a working knowledge of Spanish (oral and written). Proficiency in IOM’s official languages, which include English, French, and Spanish, will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Brazil will be eligible for consideration. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and authorizations by the concerned government, where applicable. The selection process may be used to staff similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months.
