Job Overview: The Project Assistant will work under the direct supervision of the Project Coordinator and will be responsible for providing administrative support to the project, assisting in the preparation of progress reports, ensuring the accuracy and consistency of information, and supporting the daily management of project activities. The role also includes logistical and operational support for project activities, such as meetings and forums, managing logistical requests, and ensuring efficient document management. The Project Assistant will help draft notes, memos, and other project-related communications, and will assist in the preparation of terms of reference for consultants and contractors. The position requires a commitment to gender considerations and human rights in all project processes, ensuring transparency, participation, and inclusivity.
Duties and Responsibilities:
Provide administrative support for the project, including assisting in the preparation of progress reports and ensuring the accuracy of information.
Assist in the follow-up of procurement processes related to the project.
Provide logistical support for project activities, including meetings and forums, by obtaining quotes, preparing materials, and coordinating logistics.
Manage logistical requests such as transportation reservations and coordination with suppliers.
Ensure electronic inventory management of project equipment and facilitate the transfer of project assets to the institution.
Provide administrative and logistical support for daily management, including drafting notes, memos, and messages related to the project.
Assist in the preparation of terms of reference for consultants and contractors.
Organize communications and manage project files. 1
Perform other functions as necessary for the efficient operation of the office and organization.
Required Qualifications:
Secondary education is required.
University studies (Bachelor's degree) in Law, Administration, Finance, Engineering, Social Sciences, or related fields will be given due consideration but are not mandatory.
Proficiency in Microsoft Office programs (Word, Excel, PowerPoint) is required.
Experience in logistical management for organizing meetings, events, or workshops is desirable.
Experience in procurement processes and administrative procedures in programs/projects is preferred.
Experience in UN agencies, multilateral organizations, or the public sector is an asset.
Educational Background: A complete secondary education is required. A Bachelor's degree in relevant fields such as Law, Administration, Finance, Engineering, or Social Sciences is preferred but not mandatory.
Experience: A minimum of four (4) years of relevant experience in project management and assistance is required for candidates with complete secondary education. For candidates with a Bachelor's degree, at least one (1) year of relevant experience is required.
Languages: Fluency in Spanish is required. Knowledge of additional languages may be considered an asset.
Additional Notes: This position is open to national or foreign applicants with permanent residency and a valid work permit for the duration of the contract.
