Job Overview:
The Senior Registration Assistant plays a crucial role within the Registration team at UNHCR, responsible for supporting all activities related to the registration of asylum seekers and refugees. This position involves a variety of functions, including reception, filing, and data management. The incumbent will provide essential counselling to asylum seekers and refugees, addressing their queries regarding UNHCR's registration procedures, rights, and entitlements. A key expectation is to liaise closely with protection staff and partners to ensure the timely identification and referral of persons of concern (POC) for protection follow-up. The Senior Registration Assistant may also assist in compiling and analyzing information related to registration activities, which is vital for the effective functioning of the operation. Additionally, the role may require providing interpretation and translation services, depending on the language competencies of the incumbent. The position demands a high level of discretion in managing confidential information and requires a commitment to professionalism and adherence to established protocols.

Duties and Responsibilities:
The duties and responsibilities of the Senior Registration Assistant include but are not limited to: assisting in the implementation of registration strategies and methodologies for persons of concern (POC); conducting registration interviews in accordance with established standards and guidance; providing counselling and responding to queries from asylum seekers and refugees regarding registration procedures and their rights; maintaining accurate and up-to-date records and data related to individual registration cases; identifying persons with specific needs and ensuring timely referrals for protection follow-up; collaborating with protection staff and partners in delivering assistance and programming, including the provision of identity and entitlement documentation; drafting correspondence and reports related to registration activities; providing statistics and drafting reports related to registration data as requested; acting as an interpreter and translator when needed; referring cases to other units within the office and to implementing partners as necessary; and supporting the identification and management of risks while seeking opportunities that impact objectives in the area of responsibility. The incumbent is also expected to perform other related duties as required.

Required Qualifications:
The required qualifications for the Senior Registration Assistant position include a minimum of two years of relevant experience with a High School Diploma, or one year of relevant work experience with a Bachelor’s degree or equivalent higher education. Essential skills include good computer skills, particularly in data management, and desirable qualifications include training in the basic principles of international protection and experience working with UNHCR proGres software. The candidate should possess functional skills in data management, programme management, data collection and analysis, registration standard operating procedures design and implementation, and training in both virtual and face-to-face settings. Additionally, proficiency in IT systems related to refugee applications is essential.

Educational Background:
The educational background required for this position includes a High School Diploma as a minimum, with a Bachelor’s degree or higher being advantageous. Relevant fields of education include social sciences, statistics, mathematics, and information technology. Certifications in these areas are also beneficial, particularly those related to data management and analysis.

Experience:
The level of experience needed for the Senior Registration Assistant position is at least two years of relevant experience for candidates with a High School Diploma, or one year of relevant work experience for those with a Bachelor’s degree or higher. This experience should ideally be in a similar role within the humanitarian sector, particularly in registration or protection services.

Languages:
For this position, knowledge of English is mandatory, along with the UN working language of the duty station if it is not English.
