Job Overview: The Supply Chain Associate plays a crucial role in the Country Office (CO) in Manila, Philippines, under the guidance of the International Operations Manager and reporting directly to the Procurement Associate. This position is integral to ensuring that procurement and supply chain services are executed transparently and efficiently, adhering to UNFPA policies and procedures. The Supply Chain Associate is expected to foster a client-focused, quality-oriented approach while collaborating closely with various teams within the CO, including Operations and Programme staff, as well as external partners such as suppliers and government agencies. Duties and Responsibilities: The Supply Chain Associate will be responsible for a wide range of duties, including:
**Supply Planning and Coordination**: Supporting supply planning processes in collaboration with programme, operations, and procurement staff to ensure timely delivery of supplies. Assisting in forecasting and managing supply requirements based on approved work plans and budgets, and coordinating with implementing partners and government counterparts for effective distribution.
**Procurement and Logistics Support**: Assisting in the preparation of requisitions, verifying funding, conducting technical evaluations, and certifying invoices in compliance with UNFPA procedures. Coordinating inbound and outbound shipments, including customs clearance and liaising with vendors and authorities.
**Inventory, Assets, and Warehouse Management**: Maintaining accurate inventory and asset records, monitoring stock levels, and preparing periodic inventory reports. Conducting inspections for incoming goods and supporting warehouse operations.
**Supply Chain Data, Reporting, and Systems**: Generating and analyzing supply chain reports, supporting data entry and verification in management databases, and assisting in the collection and dissemination of supply data for decision-making.
**Compliance, Risk Management, and Capacity Building**: Ensuring compliance with supply chain policies and supporting the implementation of risk management plans. Facilitating knowledge sharing and capacity building for CO and partner staff.
**General Administration**: Providing administrative support to supply and logistics functions and supervising junior staff as required.
Required Qualifications: The position requires the following qualifications:
**Education**: Completed Secondary Level Education is required, while a first-level university degree is desirable.
**Knowledge and Experience**: A minimum of six years of progressively responsible experience in supply chain management, logistics, warehousing, or procurement is required. Proficiency in current office software applications and corporate IT systems is essential.
**Competencies**: Candidates should exemplify integrity, demonstrate commitment to UNFPA and the UN system, embrace cultural diversity, and be adaptable to change. Additional Notes: The initial fixed-term appointment for this position is for a period of one year, with the possibility of renewal based on satisfactory performance. The role does not carry any expectancy of renewal or conversion, regardless of the length of service.
