Job Overview: The Project Assistant will play a crucial role in supporting the implementation of activities aimed at assisting refugees from Ukraine and other vulnerable migrants in Bulgaria, particularly in the Plovdiv region. The successful candidate will work under the supervision of the Head of Office and the Project Coordinator, collaborating with various units within the main office in Sofia. The role involves planning, coordinating, and monitoring project activities, as well as compiling and analyzing data related to specific project topics. The Project Assistant will also be responsible for budget monitoring, administrative coordination, and drafting reports and correspondence related to project issues. This position requires strong organizational skills, the ability to liaise with diverse stakeholders, and a commitment to supporting vulnerable populations.
Duties and Responsibilities: The Project Assistant will be responsible for a wide range of duties, including but not limited to: assisting in the planning and coordination of project activities; monitoring the implementation of the project budget and proposing necessary adjustments; acting as a focal point for administrative coordination; drafting status reports and identifying shortfalls in project delivery; organizing meetings, workshops, and training sessions; responding to complex information requests; maintaining files and records; liaising with local authorities, partners, and other stakeholders; monitoring the work of implementing partners; providing inputs for the development of Standard Operating Procedures (SOPs) and concept papers; and providing guidance and training to other staff members as assigned. The Project Assistant may also be required to perform other related duties as assigned by the supervisor.
Required Qualifications: Candidates must possess a high school diploma with six years of relevant experience, or a Bachelor’s degree in political or social sciences, international relations, development studies, migration studies, human rights, law, or related fields from an accredited academic institution with four years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Additionally, candidates should have experience in liaising with governmental authorities and international organizations, as well as experience working with migrants and vulnerable groups. Prior work experience with international humanitarian organizations is considered an advantage.
Educational Background: The educational background required for this position includes a high school diploma with significant relevant experience or a Bachelor’s degree in a relevant field such as political or social sciences, international relations, development studies, migration studies, human rights, or law. The degree must be from an accredited institution recognized by the UNESCO World Higher Education Database, ensuring that candidates have a solid academic foundation to support their work in the field of migration and humanitarian assistance.
Experience: Candidates should have a minimum of six years of relevant experience if they hold a high school diploma, or four years of relevant experience if they possess a Bachelor’s degree. Experience should include liaising with governmental authorities, national and international institutions, and working with migrants, refugees, and other vulnerable groups. Experience in a multicultural setting and with international humanitarian organizations is highly desirable, as it demonstrates the candidate's ability to navigate complex environments and collaborate effectively with diverse stakeholders.
Languages: Fluency in Bulgarian, English, and Russian is required for this position, both oral and written. The ability to communicate effectively in these languages is essential for liaising with stakeholders and delivering project activities. IOM’s official languages include English, French, and Spanish, and proficiency in these languages may be beneficial but is not mandatory. Language proficiency will be evaluated during the selection process, which may include written and/or oral assessments to ensure candidates meet the necessary communication standards.
Additional Notes: This position is subject to local recruitment, meaning that only candidates holding a valid residence and work permit for Bulgaria will be considered. The appointment will be contingent upon medical fitness certification, verification of residency, and necessary government authorizations. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
