Job Overview: The Business Support Assistant (Information Management) position at WFP is designed to enhance the organization's operational efficiency and communication capabilities within the UNHRD Network. The incumbent will play a crucial role in supporting data collection, reporting, knowledge management, and outreach activities. This position is vital for consolidating information inputs for various reporting needs, including donor reporting and internal updates. The role requires collaboration with internal and external stakeholders to ensure effective communication and information sharing. The assistant will also contribute to the development of new information management products and improve existing ones, thereby enhancing the overall communication strategy of the organization. This position is particularly important given the increasing demand for humanitarian services and the need for robust data management and reporting systems.
Assisting in consolidating data and information inputs from the UNHRD Network for divisional and corporate reporting, as well as donor reporting.
Contributing to the preparation of internal and external reporting products, such as Year in Review documents, hub factsheets, and operational updates.
Supporting the development of new information management products and improving existing ones to enhance communication and information sharing.
Maintaining and regularly updating information and collaboration platforms, including Teams and SharePoint sites.
Drafting and formatting knowledge products, such as Standard Operating Procedures (SOPs), FAQs, and manuals, ensuring that records are organized and accessible.
Maintaining up-to-date contact information for partners and networks to support operational and outreach activities.
Contributing inputs to newsletters, presentations, and other outreach tools to strengthen visibility and partner engagement.
Providing logistical and note-taking support during internal meetings, workshops, and consultations.
Performing other related duties as required to support UNHRD operations.
Required Qualifications: The required qualifications for the Business Support Assistant position include:
Additional training in information management, communications, or related fields is desirable.
Proficiency in MS Office applications, particularly Excel, Word, and PowerPoint.
Familiarity with SharePoint, intranet platforms, or other collaborative information systems is advantageous.
Strong attention to detail in drafting, formatting, and data entry tasks.
Good communication skills, both written and verbal, are essential.
Strong organizational skills and the ability to manage multiple tasks effectively.
Educational Background: The educational background required for this position includes the completion of secondary school. Additional coursework in relevant fields such as communications, administration, information management, journalism, business management, public policy, or social sciences is considered an asset. Additional training in information management or communications is also desirable, indicating a preference for candidates who have pursued further education in these areas.
Experience: Candidates should have at least 4 years of progressively responsible support experience in information management, communications, or administrative functions. Experience with data handling, reporting tools, or knowledge management platforms is an advantage. Previous experience and knowledge of supply chain and delivery operations are also desirable, indicating that candidates with a background in logistics or related fields may be preferred.
Languages: Fluency in English is mandatory for this position, and a working knowledge of a second UN language is considered an advantage. This requirement reflects the international nature of WFP's operations and the need for effective communication across diverse teams and stakeholders.
Additional Notes: This position is based in Dubai, UAE, and is open to UAE nationals and/or those holding a valid UAE residency visa. The duration of employment is 12 months, with the possibility of extension. The salary for this position starts from AED 16,707.47 per month, which includes pension contributions, along with medical insurance and other entitlements.
