Job Overview: The Medical Assistant position at the Migration Health Assessment Centre (MHAC) in Istanbul is a critical role that involves supporting the health assessment programs for migrants. The successful candidate will work under the supervision of the Chief Migration Health Officer and the Senior Medical Assistant, primarily focusing on the call centre function. This role requires a flexible approach as the incumbent may be assigned to various tasks within the MHAC, including reception and data processing duties. The Medical Assistant will be responsible for providing essential information to migrants regarding health assessments, managing data entry, and ensuring efficient operation of the call centre. The position demands a high level of customer service and the ability to handle sensitive information with confidentiality and professionalism.
Duties and Responsibilities: The Medical Assistant will have a diverse set of responsibilities, including but not limited to:
Supporting the coordination of the call centre function and ensuring its efficient operation.
Providing information to migrants regarding health assessments via phone communication.
Registering migrants in the IOM database, scheduling and confirming medical appointments, and relaying messages between medical staff and beneficiaries.
Preparing master lists of migrants scheduled for health assessments and submitting them to relevant service providers.
Maintaining daily statistics related to health assessments and updating records accordingly.
Contributing to customer satisfaction evaluations.
Performing data processing activities, including explaining the registration process to applicants, checking identities, and entering biodata into the appropriate platforms.
Handling medical examination forms and documents, ensuring proper quality checks and updates in the database.
Preparing and packaging medical files for mobile health assessment missions. 1
Transmitting completed medical forms and documents to partners, ensuring accuracy in contact details. 1
Filing incoming and outgoing correspondence and maintaining organized records. 1
Checking and photocopying bank deposit slips and submitting them to the Administrative/Finance Assistant. 1
Performing additional duties as assigned by supervisors.
Required Qualifications: Candidates must possess a University Degree with at least three years of relevant working experience, or a Secondary School Diploma with a minimum of five years of relevant experience. A certificate in IT or data entry is considered an advantage. Proficiency in computer data entry and knowledge of data management principles are essential. Experience in a call centre environment, particularly in a medical setting, is highly desirable. Candidates should also demonstrate strong customer care skills and the ability to work effectively in a team.
Educational Background: The educational requirements for this position include a University Degree from an accredited institution, as recognized by the UNESCO World Higher Education Database. Alternatively, candidates may qualify with a Secondary School Diploma coupled with significant relevant work experience. Additional certifications in IT or data entry will be viewed favorably, enhancing the candidate's profile for this role.
Experience: The ideal candidate should have a minimum of three years of relevant experience in a professional setting, particularly in roles involving computer data entry, data analysis, or call centre operations. Experience in a medical institution is preferred, as it aligns with the responsibilities of the Medical Assistant role. A typing speed of at least 60 words per minute is required, along with a solid understanding of data management principles and customer care practices.
Languages: Fluency in Turkish and English is mandatory for this position. Knowledge of additional languages commonly spoken by IOM beneficiaries is considered an asset. IOM's official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process through written and/or oral assessments.
Additional Notes: This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Türkiye will be considered. The appointment will be contingent upon medical fitness certification, verification of residency, and compliance with governmental regulations. IOM maintains a zero-tolerance policy regarding misconduct and discrimination, ensuring a safe and respectful work environment.
