Job Overview: The Information Resources Assistant plays a crucial role in supporting the Information and Communication Technology (ICT), Information Resources, and Records Management functions within the FAO Representation in Djibouti. This position is essential for ensuring the smooth and effective operation of these functions, which are vital for the overall mission of the FAO. The assistant will act as the first point of contact for ICT-related issues, providing both first and second-level support to resolve IT-related problems. The role requires a proactive approach to managing requests and ensuring that all support services are delivered efficiently and effectively. The assistant will also be responsible for maintaining the office's network infrastructure and ensuring compliance with established corporate policies. Additionally, the role involves managing information resources and records, processing correspondence, and liaising with various stakeholders to ensure that all information management processes are adhered to.
Duties and Responsibilities: The duties and responsibilities of the Information Resources Assistant include: acting as the first point of support for ICT matters, logging and monitoring requests, providing first and second-level IT support, liaising with external technical support providers, supporting the operation of the office network infrastructure, initiating requests for hardware and software purchases, monitoring compliance with Minimum-Security Telecommunications Standards (MISTS), maintaining an inventory of IT equipment, acting as the focal point for information resources and records management, processing incoming and outgoing correspondence, assessing and executing the transfer of semi-active records to central archives, and performing other duties as required. The incumbent's work significantly impacts the timely and efficient delivery of IT and information resources support services, reflecting on the transparency and accountability of the work unit.
Required Qualifications: Candidates must possess a secondary school education and have three years of progressively responsible experience in user support for Microsoft Windows and Office software in a wide area network environment, as well as experience in registry and information resource management. Additionally, candidates should have a working knowledge of English (proficiency - level C) and experience with computer hardware repair and software configuration, providing IT support in a networked environment, and familiarity with MS Exchange and MS Outlook. Knowledge of procurement and other related administrative functions is also required.
Educational Background: The educational background required for this position is a secondary school education. This foundational education is essential for understanding the technical and administrative aspects of the role, as well as for effective communication and interaction with various stakeholders within the organization.
Experience: The level of experience needed for this position includes a minimum of three years of progressively responsible experience in user support for Microsoft Windows and Office software, particularly in a wide area network environment.
